Flores, Administrative Assistant to the City Manager & Council SUBJECT: CO-SPONSORSHIP OF THE VIRTUAL CEREMONY FOR THE 2020 RELAY FOR LIFE OF TEMPLE CITY RECOMMENDATION: The City Council is requested to: 1. Approve a request from the American Cancer Society to co -sponsor a virtual ceremony for the 2020 Relay for Life of Temple City on October 3, 2020; 2. Appropriate funding in an amount not to exceed $1,462.50 for virtual ceremony video services by Red 88 Media, a city contractor; 3. Assist with the advertising of Relay for Life via the electronic billboard on Rosemead Boulevard, the placement of promotional banners at the Temple City Park Veteran’s Memorial, and event posting on the City’s social media platforms and website; and 4. Allow volunteers to place purple ribbons and cancer survivor photographs along street trees on Las Tunas Drive from October 3-10, 2020. BACKGROUND: 1. Since 2012, Council has approved an annual request from the American Cancer Society (ACS) to co-sponsor the Relay for Life of Temple City. The local event has raised over $300,000 to fund the prevention, advocacy and research efforts of ACS. 2. On April 23, 2019, ACS submitted to the City a request to co -sponsor Relay for Life event on October 12, 2019 at Temple City Park. City Council September 15, 2020 Page 2 of 3 ANALYSIS: Relay for Life is a community -based fundraising event of the Amer ican Cancer Society where team members take turns walking around a track or designated path . Each event is 6 -24 hours in length and each team is asked to have a member on the track at all times to signify that cancer never sleeps. The event includes games , activities and entertainment sponsored by individual teams and event organizers . Between 2012 and 2017, the Relay for Life of Temple City was a 24-hour event held at Temple City High School. The event organizers decided to go in a different direction f or the 2018 Relay for Life holding a 12-hour event in Temple City Park . Due to the current COVID -19 pandemic, organizers will be hosting this event virtually and has requested the City’s help to make this possible (i.e., by providing video services to film and edit the entire event ). City sponsorship of the 2020 Relay for Life of Temple City would also entail : 1. Proclaiming October 3, 2020 as Paint the Town Purple Day; 2. Involvement by the Mayor and other Councilmembers to speak at the virtual event’s opening ceremony . 3. Approve a request from the American Cancer Society to co -sponsor a virtual ceremony for the 2020 Relay for Life of Temple City on October 3, 2020; 4. A ppropriate funding in an amount not to exceed $1,462.50 for virtual ceremony video taping an d editing services by Red 88 Media, a city contractor; 5. Assist with the advertising of Relay for Life via the electronic billboard on Rosemead Boulevard, the placement of promotional banners at the Temple City Park Veteran’s Memorial, and event posting on the City’s social media platforms and website; and 6. Allow volunteers to place purple ribbons and cancer survivor photographs along street trees on Las Tunas Drive from October 3 -10, 2020 . ACS will NOT need to provide insurance, manpower, marketing collateral and security for the October event since it is virtual. Should Council approve the actions contained in this report, staff will work with the event organizers to meet conditions of the City’s co-sponsorship. CITY STRATEGIC GOALS: Approval to co-sponsor the 2020 Virtual Relay for Life of Temple City will further promote the City’s strategic goals of public health and safety and quality of life. I want to thank you for your support of Relay For Life of Temple City. The 9th annual community event will be held on Saturday October 3, 2020 virtually due to the COVID 19 restrictions. We are thankful of the support the City gave us in 2019 as a Presenting Sponsor. We hope we can count on the City of Temple City to be the co-sponsor of Relay For Life of Temple City for 2020. Cancer doesn't stop and that is why our team of volunteers are committed to raising $30,000 for cancer research and servies for our community even during a pandemic.Our event will online at 7pm on October 3, 2020. We are asking for the following help in making our event successful: Assistance with editing our video from your editing vendor- Red 88. Advertising Relay For Life on the mobile Electronic signs around theCity. Advertising Relay For Life on the electronic sign on Rosemead Blvd.above the Animal Hospital. Allow us to place a banner near the Veteran's Memorial at Temple CityPark. Promote the Relay For Life event on the City's Website and Social Mediaplatforms. Allow our volunteers to put purple ribbons along Las Tunas fromOctober 3- 10, 2020. Volunteers would like to place pictures of cancer survivors in the treeson October 3. It will be removed by October 4, 2020 Use of the Gazebo to pre-record video of the Gazebo on a date that ismutually agreed upon.We believe the City is truly the core of the community of Temple City. We are confident our partnership can only bring the residents and youth together virtually for a successful Relay For Life event in 2020.
