HomeMy Public PortalAbout4th July Comm 2017-11-30 Minutes '18 APR 24 3:51PM Town of Orleans 4th of July Committee c� Oath- Thursday, November 30, 2017 ORLEANS TORN CLERK In Attendance: Committee Members; Bonnie Roy, Deb Steven, Sue Christie,Judi Weil, Barb Howerton, Jane Peno. Also in attendance: Selectboard Liaison Alan McClennan. The Minutes of November 30, 2017 were approved 4-0,two members had not arrived when the vote was taken. Old Business 1. Update From The Friends Of The Fourth • Fireworks and Fundraising—Peter O'Meara reported,through an email to Bonnie,that he would be working with Sir Speedy in the next couple of weeks to get the process started for this year's mailing. 2. Band Update • Jane reported that all of the previous entrants (6)contracts have been signed and returned to the Town Manager's office.The total amount committed to these bands is$3050.00 • Jane reported that in response to our solicitation letter to the musical groups of the Summer Concert Series, 10 musical groups expressed interest in being in the parade. Twenty-four letters were sent out so that was a good response. Next steps. • Judi is going to revise a letter that will go out to these bands. In addition to general staging information, it will state that the Committee cannot supply trucks, generators, chairs or decorations to any of these new bands. • Judi reported that is pretty definite that there will be no school band in the parade this year. • Jane reported that the Cape Cod Sax Quartet would like to play on the lawn near Snow Library following the parade. They would like to be paid for this but are willing to just put out a can. The Committee decided that we will not pay for the performance in this context. Jane will let him know and will suggest other sources for funding that they could pursue. 3. Parade Theme Contest • Bonnie will update the Theme Contest Entry Form, send out the draft to the Committee and get the new Entry Form to Ingrid who will be the liaison to the OES librarian. • Entries are due back by April 12th 4. Review Timeline January/February • Annual Report sent in at the first of the year • Warrant for Town Meeting, $8400.00, sent in by the first of the year • Chamber of Commerce, and all Town departments and committees notified of dates of Parade and Fireworks in January • Orleans Police and Fire Department notification of dates in January • Notify Thompson's Printing(for Orleans Guide Book) of dates of Fireworks and Parade January • Keep track of band contracts that have been returned March/April • Pick up theme contest forms at OES before April vacation • Chose Theme Contest winner at April meeting • After theme is chosen, update Parade Entry Form, put on Town Website. • Email new Entry Form to previous year's entrants. (when should we email?) • Print extra entry forms to be distributed around Orleans, Eastham and Brewster • Start thinking about a Grand Marshal • Banner to Young and Fancy to have dates changed . • Begin to think about a Grand Marshall • May • Begin meeting every two weeks? • Fill out Facility Use forms for OES and NRMS parking lots (any construction at NRMS?), • Request a waiver of the tipping fee at the Transfer Station for Nauset Disposal. They will handle the trash and Porta Potties for the Parade (1 at EES) and Fireworks. We pay for the porta and trash containers for the parade, Nauset Disposal donates the portas and trash receptacles for the fireworks. • Banner Hanging Application to Town Hall (Date?) • Write a short informational article to submit to the Cape Codder • Sign Posting (board signs) form submitted to Building Department June • Letters sent to Stop and Shop and Shaws requesting a donation of small water bottles • Arrange for Porta Potties for the Fireworks and at OES for the parade • Arrange for trash containers for the Fireworks and the Parade. • Banner should be hung on June 30th(banner permit will tell you) • Post signs—date and locations specified on permit form • Contact Billy Giroux(Legion)about placing flags along Parade route 5. New Business • Purchase new signs to replace the sandwich board signs that are very rough looking. • Busses to shuttle fireworks • Ingrid will get the awards • Barb award certificates. • Barb 8200.05 $403.49 in decorations account The next meeting will be held on Tuesday, April 24, 2018 at 4:00 pm in the Skaket Room at the Orleans Town Hall.
