You have identified these responsive records to include “dispatch recordings, recordings of telephone calls, recordings radio transmissions and recordings of voice mails” relating to the Gulf Stream Police Department, as well as the fire and/or ambulance personnel of Palm Beach County, which service the Town of Gulf Stream. In reaching out to the city of Delray Beach for the Town of Gulf Stream’s police radio transmissions, we were informed that the City of Delray Beach retains these records for 90 days before their disposal. We were further informed that you made a similar request for records to the City of Delray Beach, relayed to them that you were seeking specific records from within this period of time, and were informed that they no longer had those records due to their retention schedule. The police radio transmissions that you seek fall outside of the 90-days they are regularly retained by the City of Delray Beach. If you would identify with more specificity an incident or date range that is applicable to your request, as you did with the City of Delray Beach, it would allow us to more efficiently and effectively answer your request before proceeding further with the production of responsive documents or an estimate for the cost to respond. If we do not hear back from you within 30 days of this letter, we will consider this request closed. For convenience, I attach both the Records Request (dated 2/24/2017) and your letter of April 13, 2017. Please accept this letter as a response to your April 13, 2017 letter; and to a subsequent (but related) Records Request. Referring to your April 13, 2017 correspondence; and, more particularly the penultimate paragraph thereof, the Records Request already provides a “date range”, so I am not clear as to what you are looking for. If you could explain that to me, I could, perhaps, provide you with an explanation. Notwithstanding the foregoing statement, please accept this as an amendment to the captioned Request, narrowing the timeframe to September 22, 2015 between 5:00 p.m. and 9:00 p.m. Please let me know if you need any further explanation as applies to the second sentence of the penultimate paragraph of your April 13, 2017 letter. I do not understand your reference to any Records Requests made to the City of Delray Beach. The attached Records Request is made to the Town of Gulf Stream. Kindly respond to the attached Records Request. If no records exist, kindly say so.
