Please take note of §119.07(c) Florida Statues and your affirmative obligation to (1) promptly acknowledge receipt of this public records request and (2) make a good faith effort which "includes making reasonable efforts to determine from other officers or employees within the agency whether such a record exists and, if so, the location at which the record can be accessed." I am, therefore, requesting that you notify every individual in possession of records that may be responsive to this public records request to preserve all such records on an immediate basis. If the public records being sought are maintained by your agency in an electronic format please produce the records in the original electronic format in which they were created or received. See §119.01(2)(f), Florida Statutes. If you anticipate the production of these public records to exceed $1.00 please notify me in advance of their production with a written estimate of the total cost. Please be sure to itemize any estimates so as to indicate the total number of pages and/or records, as well as to distinguish the cost of labor and materials. Who did it? Who was their supervisor? What happened next? o What steps are taken to redact exempt info? What is the procedure? o Explain how records are categorized for retrieval? Cross referenced? Examples? o How are records labeled for future retrieval (she previously testified they were listed alphabetically - what does that mean) o How are searches done for a record that may have more than one identifier such as: o A record that contains a sender, a recipient, a date, a subject, an attachment, non -text information such as a photo o Are records prepared for matters to be considered by the Commission during Commission meetings? o Are records prepared for matters to be considered by the ARPB? o How are they delivered to each commissioner or ARPB member prior to a meeting? Delivered to their home? o Who was Mayor when this request was made? How long has she been on the Commission? o Was she also on the ARPB at one time? Where records ever delivered to her home. o What is the earliest date that records may have been delivered to her home. o When did you first meet Orthwein? How long have you known her? o Is she married? o Where does Orthwein live - what is her husbands name. o Does 119 provide that town is entitled to be paid for estimates? o Do you charge a fee to a requester when production of a record takes less than 15 minutes? o Have you ever charged a fee for less than 15 minutes? o Have you ever quoted an estimate for production of any record for less than 15 minutes? (blockade letter asked to be paid for 10 minutes of production time on all records) o When did Town close due to O'Hare's PRR? o Who was ever denied a Town service due to O'Hare's PRR? o How many temp workers have ever worked on public records?
