MINUTES THE SPECIAL MEETING OF DECEMBER 9 2003 The special meeting of the Lynwood Women's Commission of the City of Lynwood, California was held on Tuesday, December 9, 2003 at 3:30 p.m. in the City Council Chamber. The agenda was duly posted as prescribed by the Brown Act. In attendance: Verna Culp, Chair Ethel Pacheco, Vice-Chair Mary Sue Lewis, Commissioner Della Mazziotti, Commissioner Also present: Carol DeJesus, Staff Liaison Crystal Sahagun, Minutes Clerk Lorene Reed, Friend of LWC � Pearline Calderon, Friend of LWC ' Sylvia Ortiz, Friend of LWC � Phyllis Cooper, Friend of LWC � Ann Fields, Friend of the LWC i Elizabeth Dixon, Friend of the LWC � I ADMINISTRATIVE ITEMS � i Commissioner Culp called the meeting to order at 3:30 p.m. Pledge of Allegiance Approval of Minutes: � Commissioner Culp moved to approve the minutes of the regular meeting held on I November 11, 2003 with the necessary corrections. � DISCUSSION ITEMS I Commissioner Culp asked about the evaluation sheets from the October Conference I and StafF Liaison DeJesus apologized for not having them and told her that she would � bring them on the next meeting. ' Commissioner Culp then began the discussion about the "Gifts of Love EvenY'. ' DeJesus then passed out copies of the flyer for the event and informed the commission ! that the flyec was aiready given to the staff at the Peace and Joy Center. j i ; I N:� . Commissioner Culp asked about the list of children from the Peace and Joy Center the Friend Sylvia Ortiz obtained. She asked why there were children from the ages 10-15yr. She asked if the commission would be alright with giving gifts to the older children since they had never done that in the past. DeJesus said that they should because the event was to honor all the children at the Center. She then added that she spoke to Rozie Carrillo from Recreation who told her that she would have some toys to donate to the commission but she would not know how many until late Tuesday before the event or early Wednesday. Commissioner Reed then explained what the event was that Recreation was holding. She told the commission that it was Community Service day and that event was the same day as the Gifts of Love event. Commissioner Lewis told the commission that she had some books in her car that she wanted to donate for the event. DeJesus then moved on and went over the letters that were given out to ask for donations. The first on was to Chuck E. Cheese, as well as Kimberly's party supply, Friend Ortiz told the commissioners that Kimberly's party supply said that they would donate balloons but she wanted to talk to Friend Elizabeth Dixon first to she what kind of decorations she would be using. She also told the cornmission that Winchells donuts Would be donating 100 donuts. Commissioner Reed said that she took the donation letter to Chuck E. Cheese and talked to the manager but was not very clean on what they would be donating. Friend Pea�line Calderon then said that she had taken a letter to starbucks and mentioned to them that Rev. Fountain had spoken to them. DeJesus then interrupted and introduced a guest that was with Friend Ortiz. She introduced her self and her name was Rebeca Melendez from the YWCA. Ms. Melendez then volunteered to donate rulers, pens, and compact mirrors and she would check if she had anything else available like coin purses for the Gifts of Love event. " Commissioner Reed then began to talk about the toys that were going to be donated by Raul Varela, she said that he committed to donating 100 toys. She was going to meet with him later that evening to discuss the details such as how many boys and how many girls there would be. Friend Calderon asked if the commissioners were clear on what Chuck E. Cheese would be donating. No one was really sure if Chuck E. Cheese was going to donate food orjust proVide entertainment with the Chuck E. Cheese character. i — - � � � DeJesus said that the commission should discuss what kind of food they would be providing. Commissioner Culp said that the commissioner discussed serving hot dogs at the events. Friend Dixon suggested that it would be a good idea to have chicken and potatoes if pizza was going to be served. She then commented that the commission should get clean on what Chuck E. Cheese would be donating. The commissioners talked and agreed that they should not expect the pizza from Chuck E. Cheese if they were no sure. If it was donated then it would be good but they decided not to depend on receiving the pizza. DeJesus then said that Superior Warehouse committed to a full sheet of cake thank to Commissioner Mazziotti. Commissioner Culp then asked Friend Phyllis Cooper to go over the list of entertainment for the event. She said that the person that would be helping with the M.C. would be interacting with the audience. Also there would be a staff person who was going to do face painting and act as a clown. Santa Claus would also be there. DeJesus then went over the program, She said that the event would start about 11:15 a.m. , The bus would go and pick the children up at about 10:45 a.m. Commissioner Culp then asked if one of the friends would do the pledge of allegiance, she then asked Friend Ann Fields who said yes. Rev. Fountain would be doing the invocation and commissioner Culp would do the introduction of the commissioners. She then asked if Friend Cooper would be the Mistress of Ceremonies along with the M.C. that would be doing the entertainment. The commissioners then began to discuss the raffles. Friend Ann Fields then donated $20 to the commission for the raffle. Commissioner Culp then said that she had two gifts that she would like to donate. Commissioner Mazziotti also stated that she would donate something for the adult raffle. Friend Calderon told the commission that her and � Commissioner Reed would donate a basket for the adult raffle. � Friend Ortiz then told the commission that the reason that Commissioner Lopez was not � at the meeting because she was going to be sworn in at the school district and a � member of the school board. DeJesus then said that the commission couid get together the day before the event to ' go through the gifts and wrap them as well, in the VIP room at Bateman Hall. � Commissioner Culp then asked the commission if there was anything else that needed ! to be discussed everyone said , I � �� ' ADJOURNMENT Motion to adjourn to the regularly scheduled meeting on Tuesday, January 13, 2004 at 3:00 p.m. in the city council chamber, 11330 Bullis Road, Lynwood, CA 90262 I i I� � �� � � 1 � ' I I
