"Gifts of Love" discussion , i Adiournment _ � Motion to adjourn to the regularly scheduled meeting on Tuesday, February 8, 2005 at I ' 3:00 p.m. in the City Council Chamber located at 11330 Bullis Road, Lynwood, CA � 90262 � i I I i � � � MINUTES THE SPECIAL MEETING OF DECEMBER 14 2004 The speciat meeting of the Lynwood Women's Commission of the City of Lynwood, California was held on Tuesday, October 12 at 3:00 p.m. in the City Council Chamber. The agenda was duly posted as prescribed by the Brown Act. In attendance: Mary Sue Lewis, Chair Verna Culp, Commissioner Ethel Pacheco, Commissioner ' Sylvia Herron, Commissioner Also present: Lorene Reed, Friend of LWC Pearline Calderon, Friend of LWC Lien Strienfield, Friend of LWC Andrea Hooper, City Clerk Carol De Jesus, Staff Liaison Alicia Duarte, Staff person Crystal Sahagun, Minutes Clerk ADMINISTRATIUE ITEMS � Commissioner Mary Sue Lewis called the meeting to order at 3:11 p.m. The pledge was lead by commissioner Pacheco � The minutes were read and it was moved by commissioner Culp and second by � commissioner Pacheco that the minutes be approved with the necessary corrections: i DISCUSSION ITEMS I • "Gifts of Love" r � I Commissioner started with thanking everyone for the gifts and condolences she i receive from everyone for the passing of her brother. She told everyone that she � really appreciated the support. i � Staff Liaison Carol DeJesus passed out information with some of the details for the � upcoming event. She reminded everyone that at the last meeting it was discussed ' that all of the toys would be brought in today (12-14-04) so they could be sorted. She � then added that Friend Sylvia Ortiz was not in attendance so some things were � missing and some of the detail of the event could not be finalized. She told i everyone that she called the Peace and Joy Center and asked for a list of the � children that are attending the event. i ! I •s Commissioner Lewis asked if there would be about 100 kids. Commissioner Sylvia Herron asked if it would be alright to invite other people to this event. She then said that she understood that no other people should attend because of confidentiality issues. Commissioner Lewis said it is alright to invite other children to participate in the event because it is still confidential. Friend Reed commented on the fact that some of the gifts would have names on them she said that the names shouid have never come into place. Commissioner Lewis sa�id that she suggested that the commission should solicit from large companies like ToysRUs because then would get more donations. Commissioner Lewis agreed and added that if things were done that way it would be better and the gifts would be delivered on one specified day. DeJesus told the commissioner that there should be a committee head by a commissioner put together so they can get information on what companies they would like to solicit to and then a list should be given to staff so letter can be put together. Friend Reed then asked what kind of gifts were going to be given to the older � children. She said that a lot of the toys were for the younger kids. Commissioner Lewis then said that list of the children's ages should be sent out � when asking for toys. ; � DeJesus went over a tentative program she put together for the event. She toid the � commission that Syivia Ortiz had the gifts for the older children from the peace and I joy center. Commissioner Herron then toid the commission that she brought in a toy for the A child from the Peace and Joy center. ; Friend Calderon asked if the children from the shelter and the church are going to be � separated. i Commissioner Lewis said that there is no way the children would be separated I because that would make the children feel bad. She thought that the fact that some I of the toys were already wrapped was not fair for the rest of the chiidren. I Commissioner Pacheco asked if they always gave gifts to the older children. i Commissione'r Culp said that the Peace and Joy Center is under new management so some things have changed over the years. Commissioner Herron said that she remembered years before the gifts for the children were wrapped. Friend Lorene Reed commented that if was not an issue of wrapping the toys the problem was that the commission shouid have been able to look at the toys before the toys were wrapped because it could have some safety issues. Commissioner Lewis agreed and added that the Commission is responsible for what is given to the children. � Commissioner Herron disagreed and said the Friend Sylvia Ortiz gave the person that was donating the gifts the age and sex of the child so the gifts were age appropriate. City Clerk Andrea Hooper briefly came into the meeting and commented on the discussion. She said that it is not the right of the commissioners to unwrap the gifts. She agreed that the gifts should not have been wrapped but she also thought that since they were already wrapped then should be kept that way. She then suggested that the commission come up with new ideas for next yeac DeJesus said that it was already discussed at the last meeting and it was agreed upon that all of the donated toys should be brought in to this meeting. She then continued to go over the tentative schedule for the event. She asked if anyone had any suggestions for the invocations. , Friend Lorene Reed then suggested that the commission asked Greg Woods to do the invocation and the Commission agreed. DeJesus continued and told the commissioners the children would be arriving between 11-12 noon and also she spoke to Lt. Garza and there would be a magician performing at the event from the Sheriff's dept. She reminded the commission that AARP prepared baskets for the mothers and those would be given out as well. Commissioner Herron told the everyone that Councilmember Leticia Vasquez would be attending the event and she also donated some gifts for the raffles. Commissioner Lewis then wanted to dear something up she said that only those that are parents from the center should get a raffle ticket. DeJesus told the commissioner that Friend Lorene Reed donated a bike and it would be raffled off. Commissioner Culp then asked if the gifts were going to we wrapped at the meeting. I SA F . , The commission continued the discussion about the event and it was suggested that a Polaroid picture be taken of the children and then handed to them. Not everyone agreed because of the fact that pictures were not suppose to be taken in the first place. � Friend Reed then asked how the toys would be distributed she said that the donations that Friend Calderon and herself had received were three toys per child. She asked if it was alright to distributed the toys that way even though the children were only getting one toy. DeJesus then told the commission the appropriate toys would be given to the chiidren and if there were toys left they would be raffled to the children as well.
