Glenn Clerk Treasurer GREENCASTLE BOARD OF WORKS REGULAR SESSION MINUTES February 18, 2009 4:30 PM City Hall I. Call to Order: Roll Call A. Mayor Murray called meeting to order at 4:26 PM; upon roll call all members present. II. Special Requests A. None heard. III. Approval of Minutes A. Regular Session — January 21, 2009 1. Motion by Trudy Selvia to approve as presented, second by Thom Morris, unanimous approval. IV. Department Reports A. Fire Department — Bill Newgent B. Police Dept. — Tom Sutherlin ' C. Department of Public Works — Brad Phillips D. Planner— Shannon Norman 1. Norman shared that MS4 inspections are progressing. Demonstrated spill kits purchased with MS4 money. E. Water & Wastewater — George Russell 1. Trudy Selvia asked regarding reimbursement from the School regarding fuel leak issue. George Russell commented that the school hired Spiker for repairs and they will be liable for those expenses. 2. George Russell reported a leak detected at Oxford Automotive related to the sprinklers. Mayor Murray asked George Russell to check with other communities to see what they are doing with vacant buildings with sprinkler systems. F. Attorney — Laurie Hardwick 1. Thom Morris asked regarding Fire Inspections and what happens if fail; notice issued and time for re- inspection at which time a citation will be issued. Also, asked if Police Reserves are paid; Hardwick stated that they are volunteering their time and no salary is issued. V. Old Business VI. New Business A. Kreager Brother 1. Change order #3 ® a) George Russell reported on this change order to the North Jackson Street Lift Station. (1) Contract price increase is $60, 955.96 net 30 days. Motion by Thom Morris to accept as written, second by Trudy Selvia, unanimous approval. B. Personnel Policy Revision 1. Laurie Hardwick reported on the Personnel Policy Revision. Councilor Jinsie Bingham asked for provision be included in policy stating that all employees must provide proof of legal citizenship. Thom Morris brought up issue of tobacco use on page 24, letter N; change first sentence to read "use of all tobacco products are prohibited in city vehicles." Suggested that center paragraph be removed. Motion by Thom Morris to accept document as is allowing the Mayors office to correct tobacco use section, second by Trudy Selvia, unanimous approval. VII. Approval of Claims A. Water 1. Motion by Trudy Selvia to approve claims as presented, second by Thom Morris, unanimous approval. B. Wastewater 1. Motion by Thom Morris to approve claims as presented, second by Trudy Selvia, unanimous approval. VIII. Adjournment A.
