Old business
Larry contacted Nexus and Godfreys (consulting firms):
• From Lexus nobody has responded to his emails/voicemails. Seems like a big compny.
• Godfrey's in Texas, Dick Godfrey was a librarian, easy to talk to. Has worked in Boise
on multiple jobs. Has visited McCall. His son is an architect. Lots of experience.
$10,000 - 12,000 to do initial assessment, 2-3 months, same concepts as what Meg
showed as previous meeting. They come up with a cost analysis, develop a basic needs
program, establish a time frame, basic conceptual design. They would come to McCall
for 3 days to do needs assessment. Currently working in Boise.
Meg followed up with proposal from David Moore. Let him know that we are concerned
because he is so far away. And he agreed that he would not want to be the architect work but is
interested in the needs assessment.
Andy called Steve Trout and Andy Erstadt (another consultant):
• Steve Trout recently did the Caldwell Library, working with Boise on downtown library.
Steve was founder of firm Andy has worked for, he lives in McCall. He says they are
flexible, work within any budget parameters, decide what appropriate for us to do and
them to do. Very interested in doing it. Major thing you want to do is build in flexibility.
• Andy Erstad Boise firm- Middleton and Bishop Kelly projects. Emailed Andy documents
from previous work in Middleton. Seemed less flexible than Steve, requiring more
specifics. But seemed experienced and interested.
Meg created an Erstad folder on Google Drive to give committee access to documents sent to
Andy.
John spoke to CTA - large firm in Boise. Currently working on a library project in Missoula.
Engineering, design firm. They work with and without consultants. Talked about what info they
would need for us to send out RFP. He had good input. Gave John a copy of what he
considered a good RFP (will put on google drive). Very specific. Library consultants are nice
because they can bring info to the architects. More economical to do that kind of work
ourselves. Deep community dialog with big team can become expensive. A good feel for
schedule can help the architects. Capital campaign was simultaneous in important to know. If
we had a consultant, they could help choose architect.
Discussion of the different consultants and the process. Discussion of Involvement of the
committee once design process begins.
Does the city have requirements about how RFPs are advertised? We need to check that.
When a certain amount of $ is used, there may be requirements. Ask - Bessie Jo.
We need either a consultant or design firm to begin. Discussion of timeline, what we need to
write RFP, surveys, and community involvement.
Discussion on drafting an RFP. Missoula RFP is online but they are a much larger library. Meg
will ask for RFPs from other libraries.
By next meeting get several examples of RFPs on to Google Drive for committee
members to look at by next meeting. After that meeting start drafting RFP.
Somebody from the city really needs to be involved/ issues resolved before we proceed much
further.
Need to be in communication with City Council.
