Regular Board Meeting
April 17, 2014
Present: Bill Blakey,Charlene Grissom,Jim Kluttz,Sloan Knudson, Dick Smith,Greg Stoffler, Dan Turberville,and Barry Brown(Council Liaison)
Absent: Richard Adams,Rene DeRosset, Paul DeVivo,Keith Gay,Sarah Jones,Jenny Orr,Karen Penick,Rich Rutherford and Alfie Waite
Invited Guest: Melissa Turner(Executive Director)
Call to Order: Jim Kluttz called the meeting to order at 5:04 pm.
Resignation: Jim announced that Paul Gilker had resigned from the Board.
Minutes: Lacking a quorum no action was taken on the minutes of the March 20th meeting.
Fundraising/Capital Campaign: Jim said that the Courtney Knight Gains Foundation would be donating$10,000 to the theater.
Jim said that the theater has set up an account at Vanguard to receive publically traded shares of stock that the theater has been promised. The
transfer has not yet been completed but the expectation is that value of the donation will be$100,000 or more.
On the capital Campaign Kristin Boylston has provided an outlined to follow. Our hopes are to start the campaign by June. We will have a
prospects list and the Board should add to the list with any connections they have.
We have asked that the City of Tybee donate$50,000 toward the restoration of the theater. We also asked the city to sponsor the Polar Plunge
and Wine Festival in Fiscal 2015 for$2,500 each. Also,we asked them to waive all building permit fees this year. Jim said that in speaking to the
council part of his message was to point out that we are a nonprofit and nonprofits help the city economy.
Building Update: We met with Neil Dawson and staff on the building plans and had the Theater guys in on a conference call. This covered the
building behind the theater and the HVAC system and configuration. The second building will help resolving sound and vibration issues in the
theater from the HVAC system. The Atlanta Theater guys will send a plan to deal with a platform for the theater initially versus a formal stage. The
platform is what we need for now but not the final answer. Plans are at JT Turner for pricing. We will have a meeting on the plans and cost as soon
as we hear back from Turner. The objective is to do as much as possible on the theater interior as soon as possible and keep the initial spending on
the back building as low as possible.
We have seats in a ware house which we expect can be installed for about$25.00 per seat or about$7,500 in total. We will need to do a soil
boring for the land behind the theater which will cost about$1,750. We also need a drainage plan which will cost about$1,500. There is the
possibility we can have this done by Mark Boswell for free. Jim will send out a proposal from the Theater guys for the next phase of the project.
Real issue is who do they report to? We are looking at a Grant from Fox Theater for the marquee and box office.
Finance: We should have a formal report from Alfie once tax season is over.
Event and Activities Recap: The 2014 Wine Festival preliminary results show income of approximately$32,000 at this time,although not all costs
are in. A lack of big ticket items like we had last year resulted in less income from the auctions. For the 2015 festival we are looking at dates at the
end of April or into early May. We are also looking at new events to put on like"Tybee's got talent"and maybe a concert with Eric Dunn.
Theater Seating Status: We need to get rid of the old seats in the theater and clean up the theater. We also need to make sure we have storage
space available until the new seats we have can be put into the theater.
