HomeMy Public PortalAboutAB 19-042 FY19 MIP contract award McCALL CITY COUNCIL 216 East Park Street AGENDA BILL McCall, Idaho 83638 Number AB 19-042 Meeting Date February 28, 2019 AGENDA ITEM INFORMATION   SUBJECT: Request to Approve the Contract Award of the 2019 Pavement Maintenance Projects Department Approvals Initials Originator or Supporter   Mayor / Council     City Manager /    Clerk     Treasurer     Community Development     Police Department     Public Works  Originator   Golf Course    COST IMPACT: Up to $671,000 Parks and Recreation    FUNDING SOURCE: Streets LOT Airport      Library    TIMELINE: Summer 2019 Information Systems      Grant Coordinator    SUMMARY STATEMENT: During late January and early February, the Streets Department, with the assistance of Horrocks Engineers, conducted formal bidding for the 2019 Pavement Maintenance Projects construction contract. The project consists of approximately 7.5 miles of chipsealing (outside the urban center) and 1.25 miles of microsurfacing (inside the urban center) and follows the Maintenance Improvement Plan (MIP) outlined in the 2017 Transportation Master Plan. Attached is a site plan that identify these locations. The bid opening occurred on 2/12/19. Attached is a letter from Horrocks Engineers summarizing the bid results and providing a discussion regarding the responsiveness of the apparent low bidder, Geneva Rock Products, LLC. The project specifications allow for the City to adjust the actual contract value based on the City’s available funding. Because Streets LOT funds will be used to fund this project, Staff has chosen to delay setting the final contract amount for this project until after the bid opening for the Downtown Core Phase 1B project which occurs on 2/22/19. Accordingly, staff will present a final contract amount at the City Council meeting. Also attached is a draft version of the Contract. As discussed in Horrocks’s letter the contract is currently being revised by the City Attorney to include additional language to clarify compliance with applicable Idaho statutes. A final version of the Contract, with the recommended Contract price will be provided at the meeting.  RECOMMENDED ACTION: Approve the award the FY19 Pavement Maintenance Projects contract to ______________ in the amount of $__________________ and authorize the Mayor to sign all necessary documents.
