SPECIAL EVENTS APPLICATION
The City of Tybee Island recognizes that special events play a significant role in the life of the community. Special events enhance
the community by providing recreation,cultural and educational opportunities to residents and tourists and they attribute to the
economic health of the community. It is our goal to assist event organizers in planning safe and successful events that have a
minimal impact in the areas surrounding the event. By keeping the public's best interest in mind,persons or organizations wishing
to host a special event upon public property or private property requiring City Services,special permitting and/or vendors must first
be granted approval from the City Council and/or the City Manager. The Special Event application shall be completed with all
requested information completed and submitted for consideration at least sixty(60)days prior to event. Events with 75 or more
people upon public property or private property requiring City Services,special permitting and/or vendor permits that are not for
the non-profit organizer of the event require approval from the City of Tybee Island. No more than one event per day will be
permitted due to limited infrastructure and city resources. In order to ensure a smooth review process for permission to have a
Special Event,the applicant will receive direction from applicable City Departments,City Manager and Main Street Coordinator.
Prior to the application being submitted for City Council consideration(if applicable),all concerns and details must be addressed,
confirmed by the organizer and accepted by designated City Staff of impacted departments.
Note: Applicant must meet with the Main Street Coordinator or his/her designee at time of submitting application. Additional
meetings may be required.

SECTION 6: INDEMIFICATION AGREEMENT AND ACCEPTANCE
TO ADHERE TO APPLICATION REQUIREMENTS
I,individually and as the Agent representing the Event Organization,do hereby agree to indemnify and hold harmless the City of
Tybee island,Georgia,its officers,agents,employees and contractors from and against any and all loss,damage,claim,demand,
liability or expense by reason of any damage or injury to property or person which may be claimed to have arisen as a result of or in
connection with the occupancy or use of listed event premises during the time period of said event.
Such obligation to indemnify and hold harmless shall continue notwithstanding any negligence or comparative negligence on the
part of the City relating to such loss or damage,except for loss or damage arising from the sole negligence or willful misconduct or
gross negligence of the city,and shall include all costs,expenses and liabilities incurred by the City in connection with any such claim,
suit,action or cause of action,including the investigation thereof and the defense of any action or proceeding brought thereon and
any other judgment or decree which may be entered in any such action or proceeding or as a result thereof. These provisions shall
survive the expiration or earlier termination of the use of premises. Nothing in this Agreement shall be construed to affect in any
way the City's rights,privileges,and immunities as set forth in Georgia Statutes and/or the Constitution of the State of Georgia.

Dear Ms. Gilberston,
I just wanted to take a moment and share with you how much the MS Society
Challenge Walk means to us here at the Ocean Plaza Beach Resort. From the
moment I met with Paula Winkler and Regina Hinson I instantly felt their passion
for the Multiple Sclerosis Society and I immediately wanted to be involved. 'They
shared with me there personal stories and triumphs and conveyed the message of
what the MS Society strives for. After meeting them, I spread the word throughout
the property of the potential partnership, and to my surprise I was inundated with
stories from my colleagues who had in some way been affected by MS. It amazed
me because up until the day that I met Paula and Regina I really had no idea how
Multiple Sclerosis affected our society. I know that if this walk was in the City of
Tybee it would create not only awareness for the cause but a whole town of
supporters. It would be our great honor to host the 2015. MS Challenge Walk here
on Tybee Island and we hope that you see the beauty and charm that we have to
oiler.

We are excited about the possibility of the Challenge Walk MS coming to Tybee Island in the spring of 2015.
Our little island is the perfect location for such an event. Not only do we have a beautiful environment for your
participants to enjoy,we also have a unique and spirited personality that you will find nowhere else.
Tybee's quirky, colorful personality sets apart from many other beach destinations. We are one of the few
remaining small, American beach towns. Colorful cottages line the island. Eclectic galleries and shops
showcase our vibrant arts community and diverse restaurants serve up food far beyond your standard beach
fare. Your participants are sure to find something to enjoy while here. no matter their preferences.
An overwhelming majority of our businesses are locally owned and have been in families for years.This includes
the Ocean Plaza f esort. When you make the decision to bring your walk to our island,you are positively
affecting many of the island's residents and business owners,The tight knit community is quick to rally behind
these events and you will find a great amount of enthusiasm from across the island.

Dear Ms. Gilbertson,
Tybee Island is a unique little island, with friendly people, who are always supportive of good causes.
Because of the weather and the ocean, we host a variety of fun, outdoor events in support of many
charities and non-profits, like the Tybee Flotilla which benefits a number of local organizations, the
Sea Kayak Races for the Marine Science Center, and the long-standing Critz Tybee Run Fest for
Savannah area groups. As the country's healthiest beach, we have many other running and cycling
events, like the Turtle Trot, Purple Stride, the Poker Run, and many others, again supporting non-
profits and disease research causes. These events and our draw for tourists from all over the world
put Tybee on the map for a geographically, politically, and culturally diverse audience, giving Tybee a
great position to publicize such causes not just for the Savannah area, but all over the world.
The difficulties that a person diagnosed with multiple sclerosis may face present serious challenges to
their personal lives, those of their families, and to society as a whole. The National MS Society works
to mitigate these challenges by promoting research to prevent, treat, and hopefully soon, to cure
this disease, as well as by educating the public about what living with MS really means. We are proud
for the opportunity to lend our voice, our people, and our resources to contribute in any way we can
to make life better for those living with MS today and to help to prevent it in the future.

proud to announce our arrival in the Tybee Island community March
6-8, 2015. In its 15th year, the 3 day, 50 mile walking event is expecting to bring upwards
of 500 walkers and volunteers from across the country.
Challenge Walk MS is more than just an endurance event, all fundraising efforts and
proceeds from the event benefit the National Multiple Sclerosis Society. The southeast
region of the National MS Society fully supports the event from conception to
completion. The southeast region is an eight state network of eight chapters
representing our mission to end MS. The Region offers education, support, and wellness
programs to over 60,000 people who live with MS as well as their families, friends,
caregivers and health care providers. In Georgia alone, the Georgia Chapter supports
9,000 people impacted by this disabling disease.
We are excited to be spending time on the beautiful island of Tybee and are striving to
make this an event the entire community embraces. We have received such a warm
welcome by your city officials and our host hotel, Ocean Plaza Resort that we wanted to
further extend an invitation to the area businesses to also be involved in our event. The
accompanying pages list partner opportunities that we hope your business will be
willing to accept in helping us achieve a world free of MS. Suggestions for helping
