(STILL NEEDED) The site plan needs to indicate which tent is the 43 -foot and which is the 55 -foot tent. 2. A letter from the tent provider on their letterhead that is specific to the Landshark event and the two tents that are requested to be approved. (DONE) 1. (STILL NEEDED) Required information includes the method for securing each tent. The City of Tybee Island needs specifics for this event and for each of the two tents. 2. They went up very quickly for our first event last weekend. Approximately about 25 minutes them up. 1. Establish the location of the tent. 2. Locate the center of the selected area. This can be done by stretching out the included cable from end ring to end ring to find the radius of the area the tent will fill. Drive the Center Stake with plate into the ground to define the center point 3. With one loop over the Center Stake, stretch the cable out in any direction until it is tight. The location in the center of the loop will be the location of the first Stake. Mark this location and firmly drive a Stake into the ground. 4. If possible, scribe or mark the circle as shown above as this will quicken the process of locating the Stakes. To locate the second Stake location, leave the loop over the first Stake and remove the loop from the center. Swing the Cable over until it is tight and also intersects the perimeter circle. 5. Firmly drive in the second Stake. Repeat this procedure until all Stakes are in place. When complete, the distance between the last Stake and the first should be the same as the length of the Cable. Once the position of each Stake has been determined, completely drive each into the ground. 6. Remove the Tent Top from the Bag. Unroll and spread out the Top in the area between the Stakes. Make sure the Top is oriented so that the Shoes have the smooth side facing upward. 7. Attach all of the Shoes to the Stakes by sliding the notches in the Shoes over the ridged tops of the Stakes. Make sure all of the Stakes are fully pounded into the ground and all Shoes are securely hooked to the Stakes. 8. Begin the center pole assembly. Start with the Top Pole with Dome Cap and slide in all of the enclosed Pole Sections. Make sure all of the sections are firmly and completely inserted. Finish with the Jack Pole on the bottom of the assembly. 9. Using two people, slide the end of the pole assembly with the Dome Cap under the Canopy towards the center of the Canopy. 10. Working under the Canopy, slide the Dome Cap into the ring of the webbing 11. With the dome cap attached, lift the pole upward and inward at the same time and place on top of the Center Stake 12. Take the Jack Handle and connect it to the shaft on the Jack Pole. Turn clockwise to raise the center pole until the tent is properly tensioned. 1 I just booked my flight for Thursday Morning and will be at the Auditorium at City Hall at 403 Butler Avenue for the 6:30 AM meeting. To my understanding, you now have all the documents needed for the event as far as liquor, tent, logistics for event. I have also attached the LOP from Deb for the tents. I recall seeing a site plan but I understand the location on the beach is changing. The site plan needs to indicate which tent is the 43 -foot and which is the 55 -foot tent. 2. A letter from the tent provider on their letterhead that is specific to the Landshark event and the two tents that are requested to be approved. Required information includes the method for securing each tent, the maximum wind load for each tent. (Attached is a letter from a previous event. "Under ordinary circumstances," "normally," "I would assume," and any other ambiguous terms need to be removed. The City of Tybee Island needs specifics for this event and for each of the two tents.) 3. The name and cell phone number of the onsite person responsible for monitoring weather conditions. 4. A completed Hold Harmless /Indemnification Agreement. Attached is a blank form. A report that includes the list of rules /requirements will be developed after we receive the above documentation. Although the tent units do provide shelter, it is vital for any user to remember that these are portable shelters only. This is a one day event, scheduled to take place July 14, 2012 with set -up and break down occurring the same day. Your proposed site plan for the Landshark Fintastic Voyage includes a perimeter fence no higher than 48" that will enclose the 50'x 70' event site that will include two open sided canopies that measure approximately 43' and 55' in length, temporary seating, two sampling bars and a battery operated entertainment system. This is a one day event, scheduled to take place July 14, 2012 with set -up and break down occurring the same day. Your proposed site plan for the Landshark Fintastic Voyage includes a perimeter fence no higher than 48" that will enclose the 50'x 70' event site that will include two open sided canopies that measure approximately 43' and 55' in length, temporary seating, two sampling bars and a battery operated entertainment system. This proposal does not include the use of any motor vehicles on the beach. The Department authorizes the proposed event as outlined in the attached project overview. No heavy equipment is authorized in connection with this project. Any incidental impacts to the dunes or vegetation must be restored to pre - project vegetated and topographic conditions. No stock piling of materials is allowed in the dunes. This LOP is not meant to exempt the above referenced activity from future environmental laws. This LOP is valid for the above referenced project. Any change in the use, location, or configuration of the approved project, without prior notification and approval from this office could result on the revocation of this permission and in the required removal of the materials and related structures. This project must comply with all other Federal, State, and local statutes, ordinances and regulations. Since the event will occur during the period of May 1 to October 31, the area must be surveyed by a person in possession of a DNR Sea Turtle Cooperators Permit prior to commencement of any event activities. Beginning in early June, the tour will take to the East Coast, traveling to different beaches to promote not only Landshark Lager and provide cold samples for guests, but also lead beach clean- up efforts as well as Stand -Up Paddleboarding for a cause. The action will be at Fin - Central, a hub of activity and engagement throughout the tour including beach games (horseshoes, etc), Landshark and Margaritaville sample stations, Ocean Conservancy information, paddleboarding sign -ups, music and lounge spaces for relaxing. Daily Schedule *: 9am- 10:30am: Beach Clean -up 10:30- 11:OOam: Wrap up clean -up 11:30am- 1:30pm: Paddleboarding Session 1 12:30pm: Sampling bars open 1:30pm- 3:30pm: Paddleboarding Session 2 PROGRAM STRUCTURE • Heavy support from local wholesalers to drive traffic and awareness • Strong tie -in with Ocean Conservancy — On -site beach cleanup — Ocean Conservancy awareness space within Fin - Central • Online programming to include fundraising based off of paddleboard miles paddled across each markets activation — Chance for people to pledge money for their friends signing up to paddleboard and contribute to the fundraising goal — AB to donate $1 for every dollar earned thru fundraising efforts at each event CONSUMER EXPERIENCE • Paddleboarding lessons and check -out — Local paddleboarding instructors on -site to run clinics and lessons, allowing consumers the opportunity to get out on the water for 30 -45 minute time blocks • Sampling — ID check at entrance and wristbands provided with drink tickets for Landshark and Margaritaville sampling • T -shirt station — Ability to get a Landshark printed shirt displaying their mileage contribution done thru paddleboarding • Beach games —Sand bocce courts, bags, horseshoes and more • Lounges — Comfortable areas for consumers to relax, catch some sun, enjoy their samples and mingle with friends Ground Plan A.
