Re: Printer Purchase
We currently have a contract directly with Canon which is servicing the three copiers in the City
Building (Excluding the Police Dept.) We own three copiers and pay $314.43/gtr. for service. These
copiers were purchased in 2013 and the maintenance and reliability is starting to decline. Our contract is
set to expire in April 2019. In addition, Parks Department has a Ricoh MP 5000 that is in a similar
condition and needs replaced. Parks department pay $450.00 a quarter for maintenance. We can use
the 4 copiers, including a Ricoh MP5000 (Broken printer that sits outside of I&D) for trade-in value of
$550.00. With the State QPA contract 13915 with Ricoh USA I will be purchasing 4 new printers out of
LIT account #2411.0108.301.3990 for a total of $18,311 for 2 B/W printers and 1 B/W+Color in the City
Building, and 1 B/W+Color at the Parks Department.
The new service and maintenance for a 60 month term will have no monthly maintenance plan. New
service will be pay for use only at .0055 for black and white, and .04 for color, no minimums or overages,
and this includes all supplies and staples, paper excluded.
QPA Ricoh pricing on 3 printers for the city building total $11,898. This would replace the printer
on 2"d floor with a Black/White + Color, and 2 printers on 3rd floor with Black/White models. This
includes all supplies and staples, paper excluded. Exhibit 17 & 18.
QPA Ricoh pricing for parks total $6,413. This would replace their current printer with a
Black/White + Color with a booklet finisher. This includes all supplies and staples, paper
excluded. Exhibit 22.
• Trade in value for the printers with a total of $550.00 on exhibit 15.
Over the last year the city buildings average monthly print total was 13,000 copies. With the new billing
this would average a total $71.50 a month. Parks average monthly print total is 17,500 copies, with a
monthly billing of $96.25.
