HomeMy Public PortalAbout160_010_fottminutes91814 Friends of the Tybee Theater Regular Board Meeting September 18, 2014 Present: Bill Blakey, Rene DeRosset,Keith Gay,Charlene Grissom,Sarah Jones,Jim Kluttz,Karen Penick,and Dick Smith Absent: Richard Adams,Paul DeVivo,Sloan Knudson,Jenny Orr,Greg Stoffler,Dan Turberville,Alfie Waite and Barry Brown(Council Liaison) Invited Guests: Melissa Turner(Executive Director)and Kristin Boylston(third party fund raiser) Call to Order: Jim Kluttz called the meeting to order at 5:06 pm. Approvals: Minutes of the August 21,2014 Board meeting were approved. Fundraising/Capital Campaign: There was a discussion of fund raising and the need for the Board to get involved and lead the way in asking people to donate toward the capital campaign. In total we believe we need to raise approximately$1.5 million. The first phase will be targeted at $500,000. We expect we will have detail to support the$500,000 in 2 weeks. Following that we will need a detail estimate for the full project. One suggestion was that The Landings would be a good source for fund raising. We have asked the city council to consider using the city's portion of proceeds from the recent enforcement of the Hotel/Motel tax on services as support for all nonprofits on the island. Jim indicated that in a recent discussion Dale Critz felt that an assured source of ongoing funding for the theater(such as a portion of the H/M tax)was critical to the success of the whole project. A suggestion was made that during October we invite the council to come to the theater when work is actually in progress to reinforce the importance of the theater to the community and the importance of city support to the theater and all non profits. We also need to develop a projected operating budget for the theater. When the theater is opened we will be putting down bricks and stars. The listing of those who bought them and how they should be dedicated has now been updated through mid-April of this year. Event and Activities Recap Director's Report: Melissa reviewed upcoming fund raising events. Dinner and a movie trivia contest at Fish Camp on September 18th. Two movie nights outdoors:"Jaws"on September 19th and"Pirates of the Caribbean"on October 3rd a week before Pirate Fest. On October 18 there will be an island wide yard sale. We will participate at the theater and we need stuff to sell. On October 25th Social Club will host a Little Grand Wine Tasting event at their restaurant with wine,food tastings and entertainment. We need volunteers to help with all these events. Melissa will be going to Atlanta to find about scheduling performances for after the theater is open. Building Update: The building committee will meet this Friday and expects to receive bids to do the building next week. The Marque and the Ticket Booth both need to be done now and there is a$20,000 grant available which we have applied for Theater Seating Status: We still need to find space to work on and store the seats that will eventually be used for the theater. We will need about 4,000 square feet. Other Business: There will be one meeting of the Board in November/December. The date selected was December 4. The Board approved a budget of$11,500 for the capital campaign. Adjourned:6:05 pm.
