JANUARY 20,2022 The Board of Public Works and Safety of the City of Richmond,Indiana,met at 5:00 P.M.,January 20, 2022 in the Council Chambers of the Municipal Building, 50 North 5th Street, Richmond, Indiana. CALL TO ORDER President Robinson called the meeting to order and the following business was conducted: ROLL CALL Board members present were: Vicki Robinson, Emily Palmer and Matt Evans. Also in attendance were Kim Vessels,Assistant City Attorney; Monica Burns, Deputy City Clerk; Tracy Bosell, Street Commissioner; and Media. APPROVAL OF MINUTES Ms. Palmer moved to approve the minutes of January 13, 2022, supported by Mr. Evans. Upon a vote viva voce,the motion carried. CLAIMS FOR PAYMENT Mr. Evans moved to approve the Claims for Payment for January 21, 2022 in the amount of Two Hundred Forty Eight Thousand Nine Hundred Ninety Two Dollars and seventy six cents ($248,992.76), supported by Ms. Palmer. Upon a vote viva voce, the motion carried. PAYROLL CLAIMS FOR PAYMENT Mr. Evans moved to approve a corrected Payroll Claims for Payment for January 14, 2022 in the amount of Two Hundred Seventy Nine Dollars and fifty six cents ($279.56), supported by Ms. Palmer. Upon a vote viva voce, the motion carried. Mr. Evans moved to approve a corrected Payroll Claims for Payment for January 14, 2022 in the amount of One Thousand Thirty Three Dollars and fifty cents ($1,033.50), supported by Ms. Palmer. Upon a vote viva voce,the motion carried. PAYROLL CLAIMS FOR PAYMENT FOR PENSION—None REQUESTS -None BID OPENINGS -None BID AWARDS -None Y � Board of Works Minutes January 20,2022 CONTRACTS • CONTRACT NO. 1-2022—D&D JANITORIAL SERVICE OF RICHMOND The City retains this Contractor to provide janitorial and cleaning services of the offices of the Street Department for the 2022 and 2023 calendar years. These services shall be performed two times per week. Not to exceed $4,680.00 annually Ms. Palmer moved to approve,supported by Mr. Evans. Upon a vote viva voce,the motion carried. • CONTRACT NO. 2-2022 —MAITLEN HEATING & AIR CONDITIONING The City retains this Contractor to provide necessary maintenance for the heating and air conditioning (HVAC) systems at the Street Department for the 2022 and 2023 calendar years. The charges are as follows: Regular Hours $95.00 per hour Overtime Hours $200.00 per hour Parts Mark Up/Depends Item 1.75% Mr. Evans moved to approve, supported by Ms. Palmer. Upon a vote viva voce,the motion carried. • CONTRACT NO. 3-2022—OVERHEAD DOOR COMPANY OF RICHMOND The City retains this Contractor for on-call and as-needed general and preventative maintenance repairs to the Street Department Garage Doors for the 2022 and 2023 calendar years. The charges are as follows: Regular Hours $70.00 per hour Overtime Hours $105.00 Parts Mark Up $0.00 Ms. Palmer moved to approve,supported by Mr. Evans. Upon a vote viva voce,the motion carried. • CONTRACT NO. 4-2022 —CINTAS CORPORATION The City retains this Contractor to provide cleaning services for shop towels, rugs, and uniforms for the 2022 and 2023 calendar years for the Street Department. Not to exceed $2,311.92 annually Mr.Evans moved to approve, supported by Ms. Palmer. Upon a vote viva voce,the motion carried. Board of Works Minutes January 20,2022 CHANGE ORDERS -None ADDENDUMS -None PETITIONS -None MISCELLANEOUS • PUBLIC HEARING FOR RESOLUTION NO. 1-2022 Proof of Publication Ms. Palmer moved to accept the Proof of Publication, supported by Mr. Evans. Upon a vote viva voce, the motion carried. Public Hearing The floor was opened for Public Hearing. There was no one to speak for or against Resolution No. 1-2022, the hearing closed. RESOLUTIONS • RESOLUTION NO. 1-2022—ESTABLISHING ADMINISTRATIVE PROCESSING EXPENSES FOR USE BY THE UNSAFE BUILDING COMMISSION AND CODE ENFORCEMENT This is a yearly "housekeeping" Resolution in connection with the establishing administrative processing expenses for use by the Unsafe Building Commission and Code Enforcement. Mr. Evans moved to approve, supported by Ms. Palmer. Upon a vote viva voce,the motion carried. ADJOURNMENT After a motion was duly made,the meeting was adjourned.
