Minutes of Meeting held May 15, 2019
A special meeting of the Cemetery Commission was held on May 15, 2019 in the Second Floor
Conference Room at the DPW building on Wood St. A Notice of Meeting was duly posted. The
meeting commenced at 10:35 a.m. In attendance were Cemetery Commissioners Claire Wright
and John Palmer, a majority of the Commission. Also in attendance were: Lindsay Eisan of
Inception Software Co. (“Inception”), Josh Grossetti, Mike Mansir, Chuck Moore, and Esther
Diabene.
The purpose of the meeting was to develop a plan for (1) the addition of new records to the
existing “Online Cemetery Records Database” and (2) a process for keeping the database current
in the future.
Mr. Grossetti provided an overview of the existing system and demonstrated the multiple ways
in which cemetery records can be accessed. He also stated that approximately three and one-half
years have transpired since the existing database was developed. Mr. Moore commented that
there have been 30-40 burials per year during this period and that he has separately maintained a
record of such transactions.
A general discussion ensued about the options to bring the database up to date and to keep it that
way. The option that was advocated involved the engagement of Inception to scan and enter into
the database all the records created since the time of the prior cutoff and June 30, 2019.
Beginning with records created on and after July 1, 2019, the responsibility for database entry
would belong to Messrs. Moore and Mansir. The records to be entered would include both burial
and lot owner information.
Mr. Eisan thought the Inception fee for its role in the plan would be in the vicinity of $500.
Mr. Grossetti (assisted Mr. Eisan?) agreed to develop a comprehensive data entry form for
Messrs. Moore/Mansir and to provide them with training for its use.
On a motion made and seconded, both Mrs. Wright and Mr. Palmer voted to approve the
foregoing plan.
The next meeting of the Commission will be on May 16, 2019 at 7:00 p.m. in the Third Floor
Conference area in the Town Hall.
The meeting adjourned at 12:00 noon.
