ABSENT: Keith Gay, John Herdina, Karen Kelly. Gordon Matthews, Jenny Orr, Camille Searcy, Dick Smith Virginia Ward. GUESTS: Cullen Chambers CALL TO ORDER: Jim Kluttz called the meeting to order at 4:02 pm, welcomed our guest, and extended best wishes to Jane Bridges on her marriage yesterday. MINUTES: Minutes of May 19 were approved. GRANT SUBMISSIONS: Cullen Chambers reported and showed pictures of architectural details of two theaters similar to ours. He queried the Board as to whether to pursue a grant for a box office, marquee and/or bathrooms. Rough estimates of costs would be approximately $10,000 to $12,000 for a box office. A marquee would cost $30,000 or so. Possible grant donors were discussed. The Board comments reflected support for Cullen to pursue grant funding for a box office and marquee and possibly bathrooms. Cullen will explore funding for one, two, or three of these projects. SAVANNAH BOX OFFICE: Maria Lancaster reported that she has negotiated use of Savannah Box Office at a discount rate to sell tickets and provide box office services for one year. Our events will show on Savannah Box Office along with their events sponsored at other venues. Hank Weisman moved to accept the proposal, Terry Spatz second, unanimous. Maria Lancaster reported on several acts we are negotiating this summer and fall. From August through November, we should have nearly 15 concerts and make $6,000 to $10,000. Maria Lancaster reported that an office for the Theater is now housed in Tybee Vacation Rentals, thanks to Carrie Efird and Amy Gaster. COMMITTEE REPORTS: Finance: Jenna Wilkinson reported that she is organizing our finances on QuickBooks. She distributed a balance sheet as of April 30, 2011. She will begin submitting reports via email. Page 2 of 2 Building: Jim Kluttz reported that John Herdina has gotten 3 bids for the work we approved last time; the financial range is wide. A question arose about the licensing of one contractor; we will require insurance. ADDITIONAL BUSINESS: Jim Kluttz reported that he has had a conversation with Shantell Morton about a joint marketing effort with the third Thursday music series. Jim Kluttz reported that he had requested $65,000 from the City for their budget year starting July 1, 2011, but as of this time, no funding has been written in to the new budget. He was hoping for some funding as a showing of commitment even if the entire amount is not approved. Jane Bridges announced that The Wizard of Oz will be performed in the gym the last two weekends in July. OLD BUSINESS: Jim Kluttz reported that insurance for the Tour of Homes was added to our coverage at no additional charge. Meeting adjourned at 5:05 pm. Next meeting: Thursday, August 18, 4pm.
