Pulido, City Manager By: Giselle Corella, Executive Assistant to the City Manager SUBJECT: CONSIDERATION OF A REQUEST FROM THE AMERICAN CANCER SOCIETY FOR TEMPLE CITY TO CO-SPONSOR THE RELAY FOR LIFE OF TEMPLE CITY AT TEMPLE CITY HIGH SCHOOL ON JULY 27-28, 2013 AND PROCLAIM JUNE 29TH PAINT THE TOWN PURPLE DAY RECOMMENDATION: The City Council is requested to: a) Approve the request from the American Cancer Society to co-sponsor the Relay for Life of Temple City at Temple City High School on July 27-28, 2013; b) Proclaim June 29, 2013 Paint the Town Purple Day; and C) Waive all fees and deposits for the use of the Temple City Park Gazebo (i.e., Pavilion) and installment of a street banner on Las Tunas Dr. BACKGROUND: 1. On May 4, 2010, City Council approved a request from the American Cancer Society for the City to co-sponsor the Southern California Chinese Relay for Life event at Temple City High School on June 26-27, 2010. 2. On December 21, 2010, City Council approved a request from the American Cancer Society for the City to co-sponsor the Relay for Life of the Chinese Community South at Live Oak Park on April 16-17, 2011. 3. On November 15, 2011, City Council approved a request from the American Cancer Society for the City to co-sponsor the Relay for Life of the Chinese Community South at Live Oak Park on April 14-15, 2012. On June 5, 2012, City Council approved a request from the American Cancer Society for the City to co-sponsor the Relay for Life of Temple City at Temple City High School on July 28-29, 2012. 5. On January 15, 2013, the American Cancer Society submitted a letter requesting the City to co-sponsor the Relay for Life of Temple City at Temple City High School on July 27-28, 2013. ANALYSIS: The American Cancer Society is a nationwide, community-based, voluntary health organization dedicated to eliminating cancer as a major health problem through research, education, advocacy, and service. Relay for Life is an overnight event designed to celebrate survivorship and raise money for research and programs for the American Cancer Society. Over the past three years, the City has developed a strong relationship with the American Cancer Society by co -sponsoring the first three Relays for Life in the City of Temple City (i.e., The Southern California Chinese Relay for Life at Temple City High School on June 26-27, 2010, the Relay for Life of the Chinese Community South at Live Oak Park on April 16-17, 2011 and again on April 14-15, 2012, and the Relay for Life of Temple City at Temple City High School on July 28-29, 2012). The American Cancer Society is once again requesting the City to co-sponsor the Relay for Life of Temple City by providing the following assistance: • Relay for Life banner hung over Las Tunas Drive The event organizer is requesting to have a promotional Relay for Life banner hung over Las Tunas Dr. from June 27 to July 28, 2013. The American Cancer Society will provide the street banner. There is currently no fee for the use of the banner space on Las Tunas Dr. however; there is a fee of $425 for City staff to install the street banner. The event organizer is requesting to waive all fees for the installment of the street banner. • Proclaim June 29th Paint the Town Purple Day Paint the Town Purple Day will be a day that volunteers will put purple ribbons along the city trees on Las Tunas Dr. from Rosemead Blvd. to Baldwin Ave. Relay for Life volunteers will place the ribbons on every other tree on June 29th and will be responsible for removing the ribbons by Monday, July 29th 2013. The purpose of Paint the Town Purple is to increase awareness in the community for cancer prevention, the American Cancer Society, and Relay for Life Temple City. City Council March 19, 2013 Page 3 • Use of the Temple City Park Gazebo The event organizer is requesting to use the Temple City Park Gazebo on June 29th as the headquarters for Paint the Town Purple Day from 10:00 a.m. to 2:00 p.m. The American Cancer Society team will play music and pass out American Cancer Society and Relay for Life informational packets. The American Cancer Society requests that the City waive all fees and deposit required for the reservation of the Gazebo. • Tables at City Concerts in the Park The event organizer is requesting two tables at the City's Concerts in the Park series one to two times prior to the July 27th to 28th event. One table will be used to promote the relay and the second table to promote Cancer Survivor appreciation. • City's website, Facebook, and Cable TV Channel to promote Relay for Life The American Cancer Society is asking the City to run public service announcements promoting the Relay for Life event on the City's website, Facebook page, and the Temple City Government Information Channel, which is allowed for local non-profit organizations. Temple City Youth Committee Involvement The event organizer is asking for possible involvement by the City's Youth Committee. This may be difficult as the current committee members' terms end before the Relay for Life event on July 27-28, 2013. • Mayor and City Council Involvement The event organizer would like the Mayor and City Council to speak at the opening ceremony on July 27, 2013, as their schedules permit. CONCLUSION: The City Council is requested to consider co -sponsoring for the Relay for Life of Temple City at Temple City High School on July 27-28, 2013, from 10:00 a.m. to 10:00 a.m., a 24 hour event, proclaim June 29, 2013 Paint the Town Purple Day, and waive all fees and deposit for the use of the Temple City Park Gazebo (i.e., Pavilion). Council's approval is required to for City co-sponsorship of the event. I want to thank you for your support of Relay For Life of Temple City. The second annual community event will be held July 27 - 28, 2013 at Temple City High School. For those that do not know about this unique event, Relay For Life is a 24-hour event that represents the hope that those lost to cancer will never be forgotten, those who face cancer will be supported, and that one day cancer will be eliminated. Day and night teams of families, friends, co-workers and businesses come together to raise awareness and fundraise for cancer research and programs. Survivors triumphantly walk the first lap and the Relay continues! In the evening a memorable Luminaria Ceremony honors those Survivors and lets us remember loved ones lost. We have a volunteer conunittee working to provide entertainment and educational activities to engage participants throughout the night. We are hoping the City of Temple City would considering being the co-sponsor of Relay For Life of Temple City for 2013. Some of the benefits for the City of Temple City include: *Public Relations/Promotion *Identified as event sponsor *Positive Association with National non-profit *Will be seen as a forerunner in the development of the largest ACS fundraiser in the Temple City area. *Other benefits may include. " In return for Sponsorship, the City of Temple City will be featured in all collateral. Relay For Life attracts significant media coverage. In addition to being featured in the promotional materials for the event, there is the likely opportunity for exposure of logo by the media. Sponsorship of the American Cancer Society's Relay For Life is a wonderful opportunity to reach people who are active in their communities (both participants and volunteers) while contributing to the fight against cancer. The association with the American Cancer Society, the largest voluntary health agency in the world, is one that would certainly enhance the City of Temple City's image in the community. r� RELAY AMERICAN CANCER SOCIETY RELAY FOR LIFE FOR LIFE Celebrate.
