A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF LYNWOOD
AUTHORIZING THE MAYOR OR DESIGNEE TO EXECUTE AN AGREEMENT WITH
QUEEN BEACH PRINTERS FOR THE PRINTING OF THE CITY NEWSLETTER,
LYNWOOD `N PERSPECTIVE (LNP)
WHEREAS, on November 18, 2014, the City Council approved to reject all
proposals to a -previous request for proposals (RFP) submitted on October 30, 2014 due
to an increase in costs and approved staff's recommendation to republish a request for
proposals for printing of the City's newsletter, Lynwood `N'Perspective (LNP); and
WHEREAS, Council requested the option to distribute 12 issues of the newsletter
to keep the community more informed and to help generate more ad revenue; and
WHEREAS, five vendors responded by the deadline on December 17, 2014 to a
request for proposals that was published in the Press Telegram and placed on the City's
website on December 5, 2014; and
WHEREAS, five proposals were received by the City Clerk's Office on December
17, 2014 and a panel consisting of staff members from the City Manager's Office and
the Technology and Media Support Services Department evaluated proposals; and
WHEREAS, the goal of the RFP was to receive vendor proposals for quality
prints that are approximately the same or lower than our current printing costs with the
option to print 10 or 12 issues; and
WHEREAS, based on the information presented in the written proposals and
evaluation scores, staff recommends awarding a contract to Queen Beach Printers to
provide the printing service for the City's monthly community newsletter; and
WHEREAS, an appropriation of funds is included in the FY 2014 -2015 budget to
cover the contract for 10 issues and additional funding in the amount of $11,360 would
be needed per year to print 12 issues.
NOW, THEREFORE, THE CITY COUNCIL OF THE CITY OF LYNWOOD DOES
HEREBY RESOLVE, DECLARE, DETERMINE AND ORDER AS FOLLOWS:
Section 1. That the City Council approves the selection of Queen Beach Printers
to provide printing services for the City's community newsletter, Lynwood `N
Perspective.
Section 2. Staff will print the number of issues per year specified by Council.
Section 3. If Council elects to print 12 issues, the City Manager or designee is
authorized to adjust the budget and appropriate the funds as follows:
$11,300 General Fund Professional Contractual
Reserves to Services Line Item
(1011.65.250.62015)
Section 4. The Mayor or designee is authorized to execute the attached
agreement on behalf of the City.
Section 5. This Resolution shall become effective immediately upon its
adoption.
