A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF LYNWOOD
AUTHORIZING THE RELEASE OF THE REQUEST FOR PROPOSALS (RFP) TO
SOLICIT BIDS FOR NETWORK MULTI - FUNCTION DIGITAL
COPIERS /PRINTERS /SCANNERS AND MAINTENANCE SERVICES TO MEET THE
CITY'S HIGH VOLUME COPYING AND PRINTING NEEDS
WHEREAS, on October 20, 2009, the City Council approved a five year lease
and service agreement with Canon Business Solutions to provide six high volume multi-
function copying machines; and
WHEREAS, the goal was to consolidate copier lease agreements entered into by
individual departments to lower costs, more efficiently manage the machines, and
minimize downtime while obtaining high quality copies and service; and
WHEREAS, the consolidation reduced printing costs from approximately $75,000
per year to $44,000 per year; and
WHEREAS, lease agreements for four of the six copiers expired in March 2015
and the remaining two will expire in June-2016; and
WHEREAS, the objective of this item is to enter into a new five year lease
agreement for four multi- function printers and the two remaining copiers when the ,lease
expires in June 2016 to meet the City's high volume copying and printing needs.
WHEREAS, the successful bidder will provide a proposal and contract that will
provide services to minimize downtime, provide financial control, and allow the City to
remain current with copier technology.
NOW, THEREFORE, THE CITY COUNCIL OF THE CITY OF LYNWOOD.DOES
HEREBY RESOLVE, DECLARE, DETERMINE AND ORDER AS FOLLOWS:
Section 1. That the City Council of the City of Lynwood approves and
authorizes the release of the request for proposal for network multi- function digital
copiers /printers and services to provide the City with its high volume copying and
printing needs.
Section 2. This Resolution shall go into effect immediately upon its adoption
PASSED, APPROVED and ADOPTED this 21St day of April, 2015.
