HomeMy Public PortalAbout20181018 - Hopkinton Library Trustees - Meeting MinutesHopkinton Board of Library Trustees Minutes of October 18, 2018 meeting  The Hopkinton Board of Library Trustees met at the Public Library on September 20, 2018. The meeting was called to order at 7:10 p.m. Susan Porter, Stan Pulnik, June Harris, Mike McNamara, Margie Wiggin and Library Director Heather Backman were present.   September meeting minutes were presented and approved.   Heather presented her monthly Director’s Report. See full report for further information. In staffing, the library has added 2 new reference subs. Hired and is training 4 circulation subs. The application period has closed for a part time Reference/Technology Librarian. Interviews will be forthcoming. Building issues are being addressed as the building warranty period approaches the 1 year end date. The annual town budget process has begun, and all departments have been told not to exceed 3% increase in requests. The Strategic Planning is continuing, and will be ready for submission later this Fall. There have been several donations to the library, including a $225 donation from the Hopkinton BWC Book Club, and a donation of 2 dozen books relating to parenting children with disabilities from the Special Education Parent Advisory Council.  Discussion has begun to address policy issues, changes, and additions. The Meeting Room Policy was amended to allow town departments to charge a fee to cover their costs. This was reviewed by the Town Manager.  We also approved the addition of State Agencies whose mandate serves Hopkinton and/or its residents to the approved room use list.  There was an issue with a patron regarding the use of the downstairs classroom by individuals, in lieu of the use of a Study Room. After consideration, the Policy was changed to allow the individual use of the Classroom when vacant, but group use takes precedent.  Friends of the Library are hosting a Books in Bloom Opening on Friday evening from 6 – 8 pm.  The First Anniversary Celebration will be held on Saturday October 27, 2018 from 10:30 – 2. The Trustees will serve cider and doughnuts from 10:30 am – 1:00 pm. We will also conduct hourly tours if patrons request them. The Library Foundation will hold a dedication of the 1000 Homes Plaque at 11:30 am Steve Spector will entertain with songs and guitar from 2 – 4 pm.  The Trustees elected the following officers for the 2018-2019 session: Susan Porter – Chairperson Stan Pulnik – Vice Chair June Harris – Secretary Stan Pulnik – Friends Liaison, meetings held the first Wednesday of the month.  Margie Wiggin – Foundation Liaison, meetings held the first Monday of the month.  18 -2019 meeting schedule was set and accepted.  Upcoming events include a Veteran’s Day Celebration hosted by the Girl Scouts, the annual Holiday Stroll, and Mini Golf, presented by the Friends on 2/22 and 2/23.  No new business was introduced, and the meeting was adjourned at 8:15 pm.
