Materials provided by the City do not irlclu(IC vegetation control products. The City will monitor services and will require Contractor to correct the services inadequately performed within seventy-two (72) hours. Contractor must notify the City at completion of corrective services. 5. Inspection 5.1 The Director of Community Development or his designee, will provide for the inspection of the work. The inspector shall decide all questions that may arise as to manner and of performance and acceptable fulfillment of the contract by the contractor. Direc� 7 Re: Cemetery Maintenance Date: October 24, 2003 The Department of Community Development is recommending the three year contract to maintain the City's Cemeteries be awarded to Gaines Landscaping, Incorporated, The City's Purchasing Agent had sent the Request to Bid to eighteen (18) vendors plus advertisements in the local newspaper. From this effort six (6) bids were received. After reviewing these bids, the review team (J.J. Gates, Parks Resources Division Director; Dick Crader, Construction and Maintenance Supervisor Street Department; Gala Jaramillo, Environmental Services Division Director) interviewed the low four (4) bidders. The interview questions were based on the Scope of Services presented in the Request for Bid. After the interviews each reviewer scored each bidder interviewed. The criteria For scoring included the following: Cost(60%), Past Experience and Reliability(25%), Expertise of Personnel (15%). The composites of these rankings are as follows: 1. Gaines Landscaping, Inc. 2. All Seasons Landscaping 3. Capital City Lawn Care 4. Suess Grounds Maintenance To complete the selection Ms. Jaramillo called references given for the top two choices as well as visiting some of the locations they are maintaining. The recommendations received and the quality of work performed by Gaines Landscaping, Inc. supports the Department's choice of Gaines Landscaping, Inc. as the cemetery maintenance contractor. WHEREAS,the Agreement was for lawn maintenance of City cemeteries; and WHEREAS, both parties wish to extend the agreement for the second of two additional one-year renewal periods as stipulated in Paragraph 3 of the agreement dated November 20,2003,and amended October 29;-2004; NOW,THEREFORE,be it agreed by the parties that the agreement is hereby renewed for the second of the two additional one-year periods to end November 30, 2006.
