O'Boyle [Mailto: records @commerce- group.com], The Town of Gulf Stream has received your public record request dated April 18, 2014, and the description of your public records request is set forth in the italics above. This letter requests clarification of "which in any way touch or relate to" of your request before determining whether to provide you with an estimate for the extensive use of information technology resources or extensive clerical or supervisory assistance as described in Fla. Stat. § 119.07(4)(d). Please clarify whether you are referring to the responses of these requests or something completely different. This request for clarification is done as a courtesy to you to ensure the Town is able to accurately and promptly provide you with either an estimate, if necessary, or production of the public records you seek. Please clarify the above request as indicated and the Town of Gulf Stream will proceed with fulfilling your request, or providing you an estimate of the cost of production based on your clarification. Revised 6112114 to say "Provide copies of all public records requests made by anyone with the last name of Boardman or Orthwein during the Calendar Year 2014. The responsive documents are also requested. " Dear Martin E. O'Boyle /via Brenda voicemail [mail to: records @commerce- group.com], The Town of Gulf Stream received your public records request on April 18, 2014. If your request was received in writing, then the first page of that request is attached to this cover letter. If your request was verbal, then the description of your public records request is set forth in the italics above. The Town may incur expenses for the production of documents. You are responsible for the costs of duplication, as allowed by Chapter 119, Florida Statutes, and you may also incur a special service charge for the labor needed to respond to this request. Please provide a $19.62 deposit in cash or check that will be applied to production of your records. To produce the documents that you have requested, the Town of Gulf Stream estimates the need for a half hour of administrative support at $39.23 per hour, the labor cost of the personnel providing the service, per Fla. Stat. § 119.07(4)(d). If the costs of producing these documents will exceed your deposit, the Town will provide you with an initial production of responsive records and an estimate for the production of any additional responsive records. If the costs of production are less than the deposit, the Town will provide you with the responsive records and a refund. If you would like to narrow the scope of your request, for example, by identifying a particular document type or date range, the Town may be able to provide these records at a lower cost. The Town of Gulf Stream is currently working on a large number of incoming public records requests. Upon receipt of your deposit, the Town will use its very best efforts to further respond to your public records request in a reasonable amount of time. Sincerely, Town Clerk
