P a AN ORDINANCE OF THE CITY OF JEFFERSON, MISSOURI, AUTHORIZING THE MAYOR AND CITY CLERK TO EXECUTE A SUPPLEMENTAL AGREEMENT AMENDING THE CONTRACT WITH AMERICAN REPROGRAPHICS, INC. , FOR PROFESSIONAL SERVICES TO FURNISH PHOTOGRAPHIC, DRAFTING, AND REPROGRAPHIC MAPPING OF THE JEFFERSON CITY AREA. BE IT ORDAINED BY THE COUNCIL OF THE CITY OF JEFFERSON, MISSOURI, AS FOLLOWS: Section 1. The Mayor and Clerk are hereby authorized and directed to execute a supplemental agreement amending the contract with American Reprographics, . Inc. , for professional services to furnish photographic, drafting, and reprographic mapping of the Jefferson City area for the sum of $7 ,420.60. Section 2. The supplemental agreement contract shall be substantially the same in form and content as that supplemental agreement contract attached hereto as Exhibit A. Section 3. This ordinance shall be in full force and effect from and after the date of its passage and approval. Passed: — f""17-d�� g✓� Approved: oe 'ng Off icer Mayo� ATTEST: Cit Clerk maw EXHIBIT A SUPPLEMENTAL AGREEMENT Alh FOR AMENDED SCOPE OF WORK FOR DRAFTING, PHOTOGRAPHIC AND REPROGRAPHIC MAPPING SERVICES his supplemental agreement, executed this -dz--:Sr day of 19 by and between the City of Jefferson, Missouri, and American Reprographics, Incorporated, of Mission, Kansas, is an amendment to the contract agreement authorized by City Ordinance 10311, which was passed on October 29, 1984, and is made in accordance with the provisions of Part C-2 of said contract agreement. WHEREAS the City of Jefferson, hereinafter called "City" , desires to obtain drafting, photographic and reprographic mapping services for the Jefferson City area, and WHEREAS the City is authorized and empowered to contract with 1p American Reprographics, Incorporated, hereinafter called "Consultant" , for said services , and WHEREAS the City knows from evaluating the work produced under the original agreement that the Consultant can provide the desired services in a timely manner; NOW, THEREFORE, the City amends the scope of work, required schedule, and compensation sections of the original contract and, by this supplemental agreement, hires and employes the Consultant to perform the following work under the terms and conditions specified: PART A. - AMENDED SCOPE OF WORK The consultant is to furnish all labor,, equipment, supplies, transportation, services and facilities to provide the following items: Item I . Draft current zoning district information in ink on 200 scale mylar atlas base maps. Drafting will be required for 73 base map mylars, each having a sheet size of 24" by 36" . Zoning information to be shown includes district boundaries, district symbols , and a block on r -2-• each atlas ,sheet for recording rezoning data. Rezoning data is to include ordinance number and date and the zoning change. The City will provide the contractor with the mylar atlas bare maps plus a marked print of each mylar sheet. The marked prints show zoning district boundaries, district symbols , corporate limits and rezoning data. The rezoning data is to be recorded in the block provided for that purpose. There are 45 rezoning changes. 73 sheets @ 62.80 ea. = $ 4,584.40 Item II. Draft changes in the corporate limits which have occurred since 1981 in ink on the mylar base maps . old corporate limits lines are to be removed. The City will provide a marked print for each mylar sheet where there has been a change in the corporate limits. 10 sheets @ 20.00 ea. _ $ 200.00 Item III . Draft in ink the page numbers of each atlas sheet on a mylar base map of the City. The City will provide a marked print showing the numbers which are to be placed on the index. The index sheet is to be 24" x 36" and shall show current corporate limits , section lines, section numbers, and page numbers. It shall be titled, "Jefferson City Zoning Atlas Index" . One index map = $_ 240.00 _ Item IV. On each atlas sheet ink on the page number of the sheet in both the upper and lower right hand corners. Near the map image, ink on adjacent page numbers to the north, northeast, east, southeast, south, southwest, west, and northwest. Page numbers are to be obtained from the Index ( Item III above) . 73 sheets @ 10.00 ea. = $_ 330.00 Item V. Splice negatives of eleven existing atlas sheets to consolidate into five atlas sheets. Copy resulting -3- five atlas sheets on photographic mylar (4 mil, matte 2 ) including border, title block and legend to scale of 1" - 200 ' . Make additional sets for zoning, sewer and storm sewer layouts on xerox mylar ( 4 mil, matte 2) . 5 new sheets @ jLW _M ea. = 3 copies each @ 6Q.Q0 set = Item VI. Copy of film negative of four ownership maps, splice and copy half section maps on photographic mylar (4 mil, matte 2) including border, title block, and legend to scale of 1" = 2001 . Make additional sets for zoning, sewer and storm layouts on xerox mylar. 2 new sheets @ 58.50 ea• = $ 117.00 3 copies each @ 24.0 set = $ 72.00 . Item VII. Photographically produce 16 screened atlas mylars in areas designated by City. 16 sheets @ 36.00 ea. _ $ 576.00 Item VIII. After the work required to complete the Zoning Atlas (Items I thru VII) has been reviewed by the City, the contractor shall furnish the City with: 1. Three black line sets of the entire Zoning Atlas ( 1" = 200' ) 3 sets @ 44.40 ea. _ $ 133.20 2. One set of halfsize vellum sheets of the entire Zoning Atlas ( 1" = 4001 ) $ 111.00 3. Twenty black line sets of the Atlas made from the halfsize vellums ( 1" = 4001 ) 20 sets @ 11.10 ea. _ $ 222.00 Total of Items I thru VIII $ 7,420.60. -4- The City shall select the line weights and the size of numbers and letters to be used. Lettering shall be done with K & E Leroy equipment. Standard drafting procedures shall be followed. PART B - AMENDED SCHEDULE The Consultant shall complete all work .items specified in the amended scope of work within sixty ( 60) calendar days after notice to proceed. The City will grant the Consultant extensions of time for delays recognized by the City as unavoidable, provided that such extensions of time shall be reque's'ted in writing by the Consultant, stating fully the reasons for such requests . PART C - AMENDED COMPENSATION C-1 Method of Compensation: Compensation for the services described in the amended scope of work shall be on the basis of a lump sum amount of Seven Thousands Four Hundred Twenty and 60/100 DOLLARS S 7. 4 2 0.6 0 j _ — ,____ to the Consultant. C-2 Supplemental Agreements: Compensation for major changes in scope, character or complexity of the work, for undue delay of the project through no fault of the Consultant, shall be by supplemental agreements . Said supplemental agreements may provide for changes in compensation and for the equitable adjustments, either upward or downward, lump sum amount. Supplemental agreements shall be signed by the City and Consultant and shall receive Council approval prior to authorization to proceed with any work covered thereby. Undue delay is defined as that caused by substantially greater than normal time requirements for approval by the approving authorities or temporary suspension by the City of the work under this agreement, if through no fault of the Consultant. C-3 Method of Payment: As soon as the work has been satisfactorily completed, Consultant will submit to the City final billing for service performed. Payment shall be made to the Consultant within thirty (30) calendar days after receipt and approval of final billing. PART D - OTHER REQUIREMENTS The provisions of Part A-2, Specification; Part D - Obligations of City; Part E - Ownership of Documents; Part F - r. O . -5- Subletting, Assignment or Transfer; Part G - Inspections , Conferences and Approvals; Part H - Responsibility for Claims and Liability; Part I - Disputes and Remedies; Pert J - Terminations of the Agreement; Part K - Compliance with Laws; ]Part L - Commissions and Fees; and Part M - Access to Records, as contained in the original Contract Agreement, dated October 29 , 1984 , have not been amended and apply to this Supplemental Agreement.
