PARTICIPANTS: Diana Lamb (Chair), Cate O'Neill, Adam Kibbe, Rich-
ard Archer, Cindy Bingham, Peter Lombardi, Andy Evans, Mark Fla-
herty (via Zoom)
Agenda Items
1. Call to Order - Chair Diana Lamb called the meeting to order at 1:00
PM.
2. Declaration of a Quorum - Diana declared that a quorum is pre-
sent.
3. Meeting Participation Statement - Diana read the participation
statement.
4. Recording Statement - Diana read the recording statement.
5. Approve Old Minutes - A motion to approve the March 2023
minutes was made and seconded. Approved unanimously. There
were no public comments.
6. Property Manager's Report
a. The beach cottages are almost 100% rented and almost all deposit
checks have been received and are about to be deposited.
b. The first cottage rental is in June. Some work is in progress:
window and screen repair, cleaning, readying the no parking
signs, etc.
c. Richard reviewed the operation of the septic systems for both the
cottages and the mansion.
d. Repairs underway on soffits at the mansion along with a never-
ending series of minor repairs.
e. A new set of steps was installed at the back door.
f. Some woodpecker boxes installed on trees out back.
g. There is a carpenter bee infestation on the front porch and
Richard will ask an exterminator to take a look. There are
apparently wasp nests way up on the roof.
h. The reception hall renovation continues. State approvals for the
mini splits are still in progress. The overhead fans are being
painted. A number of cracks on the outside patio were patched
and will be painted.
i. An extension to December 2024 was granted for the chimney
repair. This work must happen in the next off season.
j. Richard continues to work on the acquisition of chairs and tables.
The intent is to get approximately 150 chairs, 6 high top tables,
and 10 or 12 banquet tables. This will cost about $5,000 to $6,000
in total.
k. Three of four large pieces have been added: a glass hutch to the
kitchen to be used for displays, an upholstered couch, and a
billiard table. Richard hopes to acquire a free grand piano.
I. All major events are set on the calendar. Richard will send
everyone on the committee an updated calendar.
m. Richard hopes to get a copy of the famous Albert Bierstadt
painting that once hung in the mansion years ago.
n. If Town Meeting approves, Richard's hours will change to 35 per
week in season and 25 off season.
7. Friends of Crosby Report
o. The Friends have cleaned the 1st and 2nd floor to be ready for
Brewster in Bloom.
p. The usual spring activities are in progress: flower pots filled,
weeding, grass cutting, etc.
q. A volunteer drive is set for June.
r. There will be 20 Open Houses this year: 17 on regular Sundays
and Wednesdays and 3 during Brewster in Bloom.
s. Placing sandwich boards at the top of the street helps drive traffic
to the mansion for the tours. But these must be placed carefully
so as to avoid obscuring the view of traffic pulling out of Crosby
Lane onto 6A.
8. Parking for Mansion Events
t. Peter and Richard met with the DPW to follow up on last month's
discussion about parking.
u. The principal issue is the use of the lower grass lot during three
major events in high season
i. June 17th - Family Fun Day
ii. July 29th - Wedding
iii. Aug 12th - Wedding
v. There are about 55 spaces in lower grass lot.
w. The grass lot will be blocked off in the early morning (or late the
night before). Then it will be opened in time for the event that
afternoon. Parking enforcement will be suspended on those three
dates.
x. Off season events will require no action.
y. Richard, Peter, and the DPW will review the situation after these
events to see if adjustments are required.
z. Soon after Memorial Day the DPW will assist with the installation
of lighting along the stairs up to mansion.

10. Next Meeting - May 25, 2023 at 1 PM at the Town Hall
