PARTICIPANTS: Diana Lamb (Chair), Cate O'Neill, Adam Kibbe, Rich-
ard Archer, Cindy Bingham, Peter Lombardi
Agenda Items
1. Call to Order - Chair Diana Lamb called the meeting to order at 1:00
PM.
2. Declaration of a Quorum - Diana declared that a quorum is pre-
sent.
3. Meeting Participation Statement - Diana read the participation
statement.
4. Recording Statement - Diana read the recording statement.
5. Approve Old Minutes - A motion to approve the January 2023
minutes was made and seconded. Approved unanimously. There
were no public comments.
6. Property Manager's Report
a. Looking forward to an expanded set of events:
i. Four weddings
ii. 100th birthday party
iii. Historical Society event
iv. Family Fun Day
b. Open House will be held on Wednesdays and Sundays seventeen
times this summer.
c. The revised fee schedule is complete.
d. The cottages are all rented except for four spots in the fall and
most deposits are in for these rentals.
e. The new Crosby website is up and running and there is evidence
that it is raising awareness of the mansion and the events.
f. Reception hall tables and chairs are needed. Up to now we have
sometimes had to gather some from around town. A set of tables
and chairs on site would help with renting for events since the
renters wouldn't have to rent furniture and have them delivered.
There are some storage options on site. Prices are coming soon
with the hope that chairs at least are there by July. Richard and
the Friends would have to be in charge of set up.
g. There are some repairs required. Some rot in the trim is being
looked at by a contractor. Some small jobs can be dealt with by
the Friends.
h. The mini-split procurement is still in progress. Richard is waiting
to hear back on bids. There are a number of state procurement
rules: three quotes, prevailing wages, lowest bidder as long as
they are qualified. So there will be a wait for the state to act and
thus it is hard to predict a finish date. The wedding renters are
aware there is no guarantee the mini-splits will be there in time
for their events.
7. Friends of Crosby Report
L The Friends are ok with the expanded tour schedule from last year
being extended to 2023. The stretch from 11 AM to 3 PM on Open
House dates makes for a long day and so there will be a change to
a morning shift and a separate afternoon shift.
j. Most docents are coming back. A June volunteer drive might help
add some more.
k. April 3rd is Archive Day. The Friends intend to produce both
framed and video presentations.
I. April 11 will be the first meeting of the year
m.The water will be turned on for April 1.
8. Parking for Mansion Events
n. Until about 9 years ago the lower lot was only used by the
mansion. But then the town began using the tennis court lot and
then the lower lot. So now there is the potential for conflict on
dates when the mansion is holding events.
o. This is only a big issue in the high season. In 2023 there are three
dates which are a particular concern:
i. June 17th - Family Fun Day
ii. July 29th - Wedding
iii. Aug 12th - Wedding
iv. These are peak parking enforcement times when large
events are scheduled.
v. These three events will need the whole lower grass lot.
vi. Needs: closing gates, parking attendant, clear signage,
placards
vii. As always there is handicapped parking available up
top.
viii. Richard will consider installing lights on the stairs to
the lower lot given that some events will be letting out after
dark.
p. Beach parking permits are required in all lots from June 15th until
Labor Day.
q. The Brewster parking folks will respond to this plan and make a
response soon.
r. We need an accurate count of spaces in the lower lot.
s. We should make an effort to get data on parking use this summer.
What are the average and peak numbers of parked cars and on
which dates?
t. The fifteen or so spaces behind the mansion is only used for The
Friends and for vendors and for 4th of July.
u. We will discuss a draft policy for parking at the April meeting.
