MINUTES OF THE CROSBY PROPERTY COMMITTEE DATE: Thursday, May 25, 2023 TIME: 1:00 PM PLACE: Town Hall PARTICIPANTS: Diana Lamb (Chair), Adam Kibbe, Richard Archer, Peter Lombardi, Cindy Bingham (via Zoom) Agenda Items 1. Call to Order - Chair Diana Lamb called the meeting to order at 1:00 PM. 2. Declaration of a Quorum - Diana declared that a quorum is pre- sent. 3. Meeting Participation Statement - Diana read the participation statement. 4. Recording Statement - Diana read the recording statement. 5. Approve Old Minutes - A motion to approve the April 2023 minutes was made, seconded and approved unanimously. There were no public comments. 6. Property Manager's Report a. Richard showed the poster for the Crosby Family Fun Day to be held on June 17th on the lawn at the mansion, with parking in the lower lot. b. Paid professional performers will rotate events throughout the day and will include magicians, jugglers, aerialists and members from the Payomet Performing Arts center as well as an alum of Ringling Bros. and kids from the Nauset School. c. $10 cash at the gate admits a carful up to 6 people and there will be lawn games, prizes, and hopefully even a face-cutout photo-op display of Albert & Matilda Crosby. d. Beverages and pre-packaged snacks will be available for purchase. e. Advertising has begun via Brewster community groups, Facebook and other platforms. f. The poster will be distributed to popular area venues such as the Chocolate Sparrow, Friends Market and the Post Office. g. Peter will talk with Mike Gradone, the Recreation Director, about the possibility of distributing the poster via school groups. h. Tables and chairs for Function Room events will be ordered imminently. i. The Nauset Garden Club "Art in Bloom" event will take place at the mansion on the 9t" & 10th of June, and there is a possibility they will resume their Christmas event in 2024. j. The 2023 season wedding allowance is fully booked and some have even been turned away (one in October due to a conflict with the Haunted Mansion event. 2 are already booked for 2024 — one for June 9t", another in August/September. k. The grounds are in pretty good shape and the mowers will soon be serviced professionally. I. Process on implementing mini splits for the Function Room are still being held up by one non-responsive party. Nevertheless there is still some hope of having this work done before the first wedding on July 29. m.Cottages are in final prep and almost ready for the season. n. The DPW is scheduled to trench on 6/15 for lighting for the stairs up from the lower lot. o. The first Open House is schedule for Sunday July 2nd 7. Friends of Crosby Report p. Weekly Tuesday work days with the Friends are ongoing including cleaning, painting and repairs. q. Richard, Gayle and Adam will look into what level of refurbishment might be possible (visual, if perhaps not functional) to at least one line of the old call system. r. A volunteer drive is set for June 3rd. s. Archival materials are being reviewed and sorted with an eye towards bolstering displays throughout the mansion. t. Video archive interviews with a professional videographer have begun, started with Bill Secor and Tom Hanley. The plan is to get footage from as many remaining original Friends as possible as well as the newer people, to be edited into a visual and oral record. u. Richard plans to try to track down a recorded interview with Dr. Spargo (editor's note -- founder/director of Camp Seascape weight loss camp in the 1970's) of which he has been made aware. 8.
