HomeMy Public PortalAboutCrosby Property Advisory Committee -- 2023-07-27 Minutes (2) MINUTES OF THE CROSBY PROPERTY COMMITTEE DATE: Thursday, July 27, 2023 TIME: 1:00 PM PLACE: Brewster Town Office Room A PARTICIPANTS: Diana Lamb (Chair), Cate O'Neill, Adam Kibbe, Rich- ard Archer, Andrew Evans, Peter Lombardi, Cindy Bingham, Mark Fla- herty Agenda Items 1. Call to Order- Chair Diana Lamb called the meeting to order at 1:02 PM. 2. Declaration of a Quorum - Diana declared that a quorum is pre- sent. 3. Meeting Participation Statement - Diana read the participation statement. 4. Recording Statement - Diana read the recording statement. 5. Approve Old Minutes - A motion to approve the June 2023 minutes was made by Adam Kibbe and seconded. Approved unanimously. There were no public comments. 6. Property Manager's Report a. There have been no new issues with Weathervane Way so far this summer. Richard still intends to speak with Brian Locke, the previous property manager, about the history of the area. b. We hosted a successful wedding on July 22. There were about 105 in attendance. Richard will consider making minor changes to future contracts based on his experience with timing and cleaning. The music was loud but not excessively so. There were no complaints concerning traffic, parking, etc. The base fee was $2900 + $1300 in extra time for a total of $4200. This is very affordable compared to other venues. c. We have four booked weddings for next summer and maybe one or two more in the pipeline. We will hold off at a maximum of six until we have a post-season report from Richard this fall. d. Richard's time should be discussed at a future meeting. Other questions: Should we charge the clients a cleaning fee? Could we get help from the town on cleaning restrooms? e. Including all events about 4000 people have gone through the mansion between April 2022 and the present. f. The cottage turnovers are going smoothly. g. The new tables and chairs came in. There are more chairs coming later. h. The installation of the mini splits has still not happened. We have not heard anything from the state. Two portable AC units were installed as a stop gap measure. i. August 12 is the next wedding. j. Painting the porch deck is happening this week. The arches are already done. k. Mold and mildew is being dealt with as well. 7. Friends of Crosby Report I. The Friends very active. Cleaning, polishing, upkeep, grounds, etc. m. Is Open House twice a week over the summer manageable? What is the best balance between docent work vs maintenance? Maybe we could have fewer Open House days but with a longer day? It is particularly stressful to have an Open House the day after a wedding. We take in about $1000 per week in donations from Open Houses. The Friends should be involved in these discussions. 9. New Business - none 10. Next Meeting - August 24, 2023 at 1 PM 11. Adjournment - A motion to adjourn was made by Peter Lombardi and seconded. It passed at about 1:48.
