Your suggestion that we narrow our request is under consideration, but before making a decision, we need more information. We need to know how you calculated 5 hours. Neither I nor other IT people could understand how you arrived at S hours' worth of time to julftll this request. We ask that you provide its with this information. Additionally, you offer no explanation for (or calculation qn the rate ($30.93 per hour) nor do you identify the person who will he spending the S hours. If your request was received in writing, then the first page of that request is attached to this cover letter. In future correspondence, please refer to this public records request by the above referenced number. The Town may incur expenses for the production of documents. You are responsible for the costs of duplication, as allowed by Chapter 119, Florida Statutes, and you may also incur a special service charge for the labor needed to respond to this request. To produce the documents that you have requested, the Town of Gulf Stream estimates the need for 5 hours of police administrative support at $30.93 per hour, the labor cost of the personnel providing the service, per Fla. Stat. § 119.07(4)(d). If the costs of producing these documents will exceed your deposit, the Town will provide you with an initial production of responsive records and an estimate for the production of any additional responsive records. If the costs of production are less than the deposit, the Town will provide you with the responsive records and a refund. If you would like to narrow the scope of your request, for example, by identifying a particular document type or date range, the Town may be able to provide these records at a lower cost. Please clarify who the other entities you are referring to may be, so that we may efficiently produce the responsive documents you are requesting. (CAF), This letter provides the estimated costs for the production of public records you have requested in your email, "PUBLIC RECORDS REQUEST — #C- 114 ", dated March 14, 2014, that we acknowledged on March 21, 2014. In order to provide you with an accurate estimate of the time it would take to provide all responsive documents to your extremely broad request, "all government records which are available electronically... ", the Town of Gulf Stream respectfully requests a deposit of $1,540.00, which represents the quote received by the Town from Urban Design Kilday Studios to fulfill this request, per Fla. Stat. § 119.07 (4)(d). However, please be advised that this is only an estimate and the actual cost of production may be higher. Once the Town has received your deposit, Urban Design Kilday Studios will be advised to undertake the processing of your Public Records Request. If the digital records can be obtained and produced for less than the provided estimate, they will be promptly provided to you, with a partial refund of your deposit based on the actual cost of production. If the digital records cannot be obtained, or otherwise produced for a cost less than the deposit, the Town will send you a letter with an estimate for the additional cost of production, and require an additional deposit.
