That certain document attached hereto entitled, City of Richland Hills, Texas Property Inventory Resolution, be adopted as inventory procedure for the City of Richland Hills, Texas. PASSED AND APPROVED THIS 20th DAY of June , 1983. APPROVED: avid L. Ragan Mayor ATTEST: Pauline Kempe City Secretary CITY OF RICHLAND HILLS, TEXAS • PROPERTY INVENTORY RESOLUTION NO. 9-83 1. PURPOSE. This resolution establishes policy and procedures for proper control of all property belonging to the City of Richland Hills. 2. EFFECTIVE DATE. Upon approval by City Council. 3. DISTRIBUTION. A copy of this resolution is furnished each Depart- ment Head and the master copy shall remain on file in the City Secretary's office. 4. COMPLIANCE. Any deviation to these guidelines shall be cause for disciplinary action. 5. INVENTORY OF PROPERTY. Each Department Head is required to conduct an on-site inventory of all property within his/her department within 30 days of the effective date of this resolution. This inventory shall be listed on Property Inventory Form RH-PR-04 and submitted to the City Council for verification. The Council Team shall verify the accuracy of the inventory within 45 days of the submission by the Department Head. At the time of verification, the Council Team will properly label the property for easy identi- fication in the future. a. Office machines/equipment. Identify by make, model and serial number. (Group these on your inventory) b. Office Furniture. Identify by color, type wood/material, etc. c. Location of Property. List the room and building pro- perty is located, e.g., City Hall, Mayor's office; Fire Department, Chief's office; Maintenance Yard, etc. 6. CHANGE IN INVENTORY. Any additions or deletions to this list of property will be accomplished by the use of a memorandum receipt showing dates of additions/deletions, the reason for the addition/ deletion, the disposition of any property disposed and how it was disposed. Any addition shall contain the complete information required on Form RH-PR-04. All changes shall be made by the Depart- ment Head and submitted to the City Administrator for proper handling. No property shall be disposed of without prior written approval of the City Administrator and City Council. The Council will determine disposition of all City property. 7. ACCOUNTABILITY. The Department Heads will be held responsible for all property listed until such time he/she resigns or retires. The retiring/resigning employee will not be relieved of the responsi- bility until someone else has assumed the responsibility of the property for that department.
