HomeMy Public PortalAbout20110819minutes.pdfApproved: December 20, 2011 Page 1 of 2 BETTER HOMETOWN BOARD OF DIRECTORS Meeting Minutes: October 19, 2011 Directors Present: Jim Glass, Judy Malins, Beth Martin, Monty Parks, Dick Smith, John Yarbrough Directors Absent: Patricia Miller Wann, Stephen Palmer, Shirley Sessions, Peggy Stone Call to Order: Monty called the meeting to order at 6:04pm. Welcome Monty welcomed everyone. Richard Sellers introduced himself as a guest to watch the meeting. Approval of minutes Dick made a motion to approve the September 21, 2011 Better Hometown Board of Directors meeting minutes. John seconded the motion. The motion passed unanimously. Committee Reviews Organization: Georgia Downtown Conference Chantel reported the Georgia Downtown Conference in Rome went well. Members of the Georgia Downtown Association told Chantel they would like Tybee to submit to host in 2013. There is an extensive process for cities to submit interest to host. Expenses occur with gift bags, meeting spaces, refreshments and receptions each day / night. A tally is announced about conference attendee spending over the two – three day period at the end of each conference Chantel attends. Typically, the totals are $70,000 to $100,000. Hosting the 2013 conference would be beneficial since it would be the end of September. The board agreed to pursue hosting the 2013 Georgia Downtown Conference. Organization: Guest Form Request Chantel reviewed the guest form Beth put together based on Patricia’s suggestions presented at the last board meeting. Beth explained the form is designed to make sure people / groups wanting to participate with BHT projects or have BHT take on a new project think through their concept(s) and know costs. Jim shared his enthusiasm about having artwork displayed on the sidewalk along Tybrisa such as is done in Paris. Beth explained that outside vendors can hurt those with Bricks and Mortar locations that pay taxes, etc. If BHT does pursue working with artists during events, guidelines need to be set to judge the quality. John suggested adding a note on the form such as “If form does not apply, please provide a written request with details.” The board agreed to put the form online once the verbiage is added. Design: Historic Butler Median Project Chantel provided an update that the Design Committee is working on verbiage / design of possible signage that announces “Businesses are open during construction.” Jim expressed placement of the signs is critical. Approved: December 20, 2011 Page 2 of 2 Design: Keep Tybee Tidy Chantel reported the “Keep Tybee Tidy: Combating Litter by Land for the Sea” grant went into effect October 1. She is working with DNR to secure the poster for the litter awareness signs. She requested the board look at locations along the corridor for the additional litter/recycling containers we will be getting. Promotions: Tybee for the Holidays Chantel reported that the September promotion meeting was well attended and progress is good with the holiday season. Beth inquired about using the daily board on President Street to promote the 1st weekend of December. Dick and Judy will send her contact information. Beth and Chantel will coordinate. Promotions: Third Thursdays on Tybee Chantel reminded the board that The Old Folkers (Hank Weisman and John Powers) will be performing at the Lot at Tybee Oaks tomorrow. Monty encouraged everyone to attend. Discussion ensued about parameters for the 2012 series. Other Business: Beth suggested BHT be involved with Halloween next year as a community project. Beth inquired about advertising at the airport. Chantel confirmed that would be a function of the Tybee Island Tourism Council’s marketing efforts. Discussion ensued about having a member of the Tourism Council serve on the Better Hometown Board of Directors. Adjourn Dick made a motion to adjourn the meeting at 6:35pm. Judy seconded the motion. The motion passed unanimously.
