HomeMy Public PortalAbout20120321minutes.pdfApproved: April18, 2012 Page 1 of 2 BETTER HOMETOWN BOARD OF DIRECTORS Meeting Minutes: March 21, 2012 Directors Present: Bill Garbett, Jim Glass, Vicki Hammons, Amy Kagan, Judy Malins, Beth Martin, Monty Parks, Peggy Stone Directors Absent: Stephen Palmer, John Yarbrough CALL TO ORDER Monty called the meeting to order at 6:07pm. Welcome Monty welcomed everyone. APPROVAL OF MINUTES Peggy made a motion to approve the February 11, 2012 Better Hometown Board of Directors meeting minutes. Amy seconded the motion. The motion passed unanimously. COMMITTEE VISIONING WORKSHOP Chantel reviewed the presentation for the April 4 Annual Community Visioning Workshop (5:30pm – 7:00pm) with Directors. Discussion ensued regarding time allotted for presentation and discussion following the presentation. All agreed that more time for Q & A is beneficial. Specific topics should be announced to obtain feedback from workshop attendees in order to set the 2012-13 committee work plans. Monty requested that the Resident Guide be highlighted. Chantel confirmed it is in the presentation and that economic development and quality of life will be stressed. Peggy agreed to take notes during the discussion portion of the workshop. COMMITTEE REVIEWS Economic Restructuring Chantel distributed the revised Business Resource Guide (AKA brochure). Changes were made to the brochure based on the feedback Mary Ellen provided at the last BHT Board of Directors meeting. Chantel reported that the Community Development Department is changing. Planning and Zoning will stand as its own department with Dianne Otto as the Planning and Zoning Manager. Chantel will have a new office, which will be the Better Hometown Program office. She will be reporting directly to the City Manager. Monty commented that he believes Chantel reporting directly to Diane is a good move for Chantel and the program overall. Chantel will continue to update the brochure as necessary (i.e. restructuring of the offices, etc.). The brochure is available on line and at City Hall. Beth suggested the guide be more visible. Design Chantel reported that the Keep Tybee Tidy grant work is progressing well. She is preparing the six month report to send to DNR. The additional trash/recycling/side mounted ashtray containers are being installed by DPW. 125 Keep Tybee Tidy and 125 Recycle Here stickers are being produced by Fast Signs. The stickers will have the following sponsor logos: City of Tybee, TBA, NOAA, and DNR. Educational signage will be delivered and put up in the next few weeks. She has also been sending out public service announcements in accordance with the grant. Approved: April18, 2012 Page 2 of 2 Organization Chantel reported that there are currently three volunteers serving as Information Providers. Dicky, Lisa and Jim are doing a wonderful job volunteering each weekend. More volunteers are needed and she asked for Directors to reach out to residents. Jim and Chantel discussed his concerns regarding delivery trucks idling. Chantel reported that she met with the City Manager regarding the 2012-13 BHT budget. She was instructed to deduct the money shown for BHT Donated Money Expenses on the 2/29 budget worksheet in order to cover the requested increase to Supplies and Materials. Overall the total budget should remain the same. The Supplies and Materials would increase to $7000. If Chantel applies for another grant (cash match / in kind match) on behalf of the BHT Program (i.e. support for Third Thursdays), the request would go to City Council first for consideration. If approved, the finance department would create appropriate line items. Chantel will let Directors know when she is schedule to present the BHT budget to Council. Promotions Chantel and Monty reported that the March 15 Third Thursdays on Tybee with Roll on Rodney performing was well attended. Monty requested signage be produced and displayed for these concert performances so people know what is happening. Chantel will review the budget, check on City banner location availability and proceed. In Stephen’s absence, Chantel reported about Tybee for the Holidays discussions held during the last Promotions Committee meeting. She reported that the committee members were in favor of holding Lights on for Tybee Friday, November 30 and the Christmas Parade on Saturday, December 1. At that meeting, Stephen confirmed that he would take care of the stage for the dancers. Directors discussed the dates for Lights on for Tybee and the Christmas Parade. All recommended that Lights on for Tybee be held Friday, December 7 and that the parade be held Saturday, December 8. Chantel will inform the committee members. Discussion about Tybee Community Day ensued among Directors. The date will be in October after Pirate Fest. Beth suggested incorporating an appreciation aspect to the day as a way to say thank you for the non-profits, businesses and residents. Further discussion of this item was postponed until the April meeting. OTHER BUSINESS N/A ADJOURN The meeting adjourned at 7:15pm.
