HomeMy Public PortalAbout20090729minutesUSS JEFFERSON CITY SUBMARINE COMMITTEE JULY 29, 2009 Call To Order: Ed Irwin called the meeting to order at 4:55PM. Roll Call: Members present were, Ed Irwin, Vice Chairman, Herman Smith, Senior Member, John O'Connell, Secretary. Guests Steve Schlueter, City Finance Director, Melody Green, Consultant. Motion: John O'Connell made a motion to accept the minutes from the 7-2-09 meeting, it was seconded by Herman Smith. The minutes were accepted. Discussion of the USS Jefferson City Submarine 2009 Visit. Melody Green put together a tentative itinerary for the crew visit she distributed copies to all present. Melody has been coordinating with the Captain, Commander Edward Anderson. At present she is waiting for a return call from Vice Admiral Donnelly's office to affirm the proper uniform of the day for the crew. Melody stated that she has secured housing for the crew with five Families from the community. The crew will be arriving at the St. Louis airport Thursday afternoon August 20th and then driving to Jefferson City. There will be eight crew members and no wives. The crew will depart Jefferson City for the St. Louis airport Tuesday August 25th. Upon arrival in Jefferson City the crew will go to City Hall where Steve Schlueter, has made arrangements for the crew to use the City Council Chambers and restrooms to change into their uniforms. Also, this will be an opportunity for the host families to greet and meet the sailors they will be hosting. The crew then will depart for an evening at the Elks Lodge for men's night. Steve advised the group that a request for an additional $1000.00 from the trust for the use of expenses for the crew visit. This is in addition to the already approved $2000.00 allotted for the yearly visit. These fund will be used to pay air fare for four crew members also the cost of tickets for the Submarine Ball, BBQ, and lunch at the State Capitol. Steve also questioned why the crew had to participate in community service while here for the visit. Melody explained that in order to have SUBPACT fund part of the trip the crew members must do some community service. Ed Irwin agreed to check with Mike Kehoe concerning the donation and use of an additional vehicle for the crew to supplement Melody's vehicle which is an eight passenger Suburban. The crew is not authorized to use their rental vehicles after they arrive in the host city. Ed also asked Herman Smith if the crew would be able to visit his museum during their visit. Herman agreed and asked for a little advanced notice. Ed also stated that he would keep the committee members updated by email as things come together for the crew visit and Submarine Ball. Melody said that she hope to have the final draft of the itinerary at least a week prior to the visit. Old Business: None New Business: Steve Schlueter stated that the City Attorney, Nathan Nicholas, has reviewed the requested changes to the requirements for members of the Committee as set out in By-Laws Sec. 7-291. Steve indicated that he has written a review and recommendations that might be acceptable to the council and fit within the structure as it is written. This subject will be brought up at a future meeting, possibly in October or November. Adjournment: At 5:25 PM Herman Smith presented a motion to adjourn and that was seconded by Steve Schlueter.
