MINUTES
Call to Order: At 5:15 PM the meeting was called to order by Chairperson Melody Green.
Roll Call: Roll call was taken by the Secretary John O'Connell. Those present are Chairperson,
Melody Green, Vice Chairman, Mike Ryno, Secretary John O'Connell and Visit Coordinator,
Marti Thruston.
Approval of September 19, 2012 meeting minutes: The minutes from the previous meeting
were provided to all present. They were reviewed by all and a few minor corrections were noted
and corrected by the Secretary.
Discuss any changes or additions to the Crew Visit: Melody Green noted that since the
Captain and the LTJG will be arriving before the rest of the Crew and possibly leaving on
Monday 22nd. She suggested that since the Captain and LTJG will have a lot of open time on
Thursday. She could take them for a tour of the City maybe a tour of the Governor's Mansion or
the Capital, lunch at Meadow Lake Country Club and a possible tour of the Churchill Museum in
Fulton.
Marti Thruston corrected the Itinerary to show that on Saturday the Crew will be working at a
habitat house on Vista St. but not at the disabled Marines home.
Mike Ryno stated that he had spoke with the owner of the Old Time Trolley about the possibility
of using the Trolley to take the Crew on a city tour and maybe taking them to the Prison for the
Sunday evening Ghost tour. He wanted an approximate head count so he knew how many
people would be involved. It was concluded that about 15 people would be involved which
includes the Crew. Mike was hoping that the owner of the Trolley might donate the use of the
Trolley and provide a driver.
Marti Thruston volunteered to contact Mike Kehoe at Machens Ford or Kevin Riley at Riley
Chevrolet to see if they would provide a van for the use of transportation for the Crew if it were
necessary.
Discuss the dinner for the 20th Anniversary: Melody Green presented a less expensive
alternative to using Danny Farmer to provide the catering for the dinner event. She had spoke
with the owners of Argyle Catering Company and their bid came in several dollars less than
Danny Farmers. Melody provided the Committee with a copy of the menu from Argyle Catering
and after some discussion it was thought that this might be a good alternative to Danny Farmer's
bid.
After reviewing the menu it was thought the best choices would be, German Pot Roast &
Chicken Cordon Bleu for the main entree. Seven layer Salad, Real Mashed Potatoes w/Gravy,
and California Blend for the Side dishes. The cost of the meal would be $8.95 adding in the cost
of the event facility brings the total cost to $13.45 per person. A discussion was had and it was
decided to place the cost per person at $15.00 which would allow for a slight profit. Melody
stated she was providing a cake for the event. Melody also suggested that she could buy a better
quality plate and fork set than that which the catering company would provide. Marti Thruston
made a motion to accept Argyle Catering and to allow Melody to purchase more appropriate
plates and utensils. The motion was seconded by John O'Connell and passed by the Committee.
Discussion moved to the invitations and the invitee list. Melody provided two versions of the
invitation that she and her daughter had created. One was for mailing and the other would be
used to post in strategic locations. She had a cost analysis of about $60.90 for the paper and
printing of 200 copies of the invitations to be mailed. They would be mailed in a standard
envelope with a return addressed envelope. Mike Ryno made a motion to accept Melody's
recommendation to allow purchase of the invitations, envelops, and printing to be paid out of the
Submarine trust fund. That motion was seconded by John O'Connell and passed by the
Committee.
Discussion moved to the invitee list. Melody had compiled a list of about 200 to 220 invitees
that she was considering. Of that list she recommended that the Committee comp the cost for
about 12 individuals. They included the Mayor & spouse, the ex- Mayor & spouse, two couples
of which husbands served on the USS Jefferson City Submarine, the Governor & spouse, Ike
Skelton & spouse.
Melody was going to email a copy of the generic invitation to all the Committee members and
ask that they spread the word and post the notice in selected appropriate locations where possible
interested parties might see it.
Melody suggested that she could emcee the event and introduce the Crew and VIP attendees.
Also she had visited with Herman Smith's wife and she has agreed to lend the Committee some
of Herman's Submarine memorabilia for display during the dinner event.
Marti Thruston has agreed to make some table arrangements for the table at the dinner.
Melody and Marti emphasized the importance of respondents to RSVP by October the 15th as
this would allow the catering company a head count.

Next Meeting Date: It was decided that a final meeting should be held on October the 9th in the
Missouri River Conference Room at 5:15 PM in City Hall.
Adjournment: AT 6:10 PM Melody Green made a motion to adjourn and it was seconded by
Marti Thruston and carried by the Committee.
