HomeMy Public PortalAboutAnniversary Committee 02-08-202475th ANNIVERSARY COMMITTEE FEBRUARY 8, 2024 MINUTES Roll Call: Committee Members Present Committee Members Absent Diane Barrette Nancy Arent Anne Bruton Joyce Fiaccone Jenny Clark Shirley Goodman Bill Garretson Deborah Rodgers Jennifer Hartzke Susan Himes Natalie Howe Nelda Stroder Staff Present Chantele Hancock, Library Director Jason Brown, Director of Parks & Recreation Jennifer Hilburn, Assistant to the City Manager Welcome Chantele Hancock called the meeting to order at 5:16pm, allowing members to place food orders and get settled in prior to starting the meeting. Approve the January 11, 2024 75th Anniversary Committee meeting minutes Chantele Hancock reviewed the minutes from the January 11, 2024 meeting, each member had a printed copy handed to them as they arrived for the meeting. Motion to approve the minutes was given by Diane Barrette with a second by Jennifer Hartzke, all present members agreed. Assign committee email addresses and discuss established communication platform Jennifer Hilburn discussed with committee members that each of them would be assigned a City of Richland Hills email address and placed into groups through Microsoft Teams for communication regarding the events, theme, fundraising, etc. It was discussed that Sheena McEachran would meet with each of the team members to set up their email on their electronic devices in the following week. Discuss and select 75th Anniversary theme Chantele Hancock did a recap of the previous theme ideas discussed at the January 11, 2024 meeting and welcomed new ideas with the understanding that a theme would be selected at this meeting. Through group discussion, the themes “EnRICHing Others and “Rich In…” with discussion of each event being “Rich In Community,” “Rich in Agriculture” etc., to incorporate all areas of Richland Hills. The discussion continued with a suggestion by Nelda Stroder to have fewer events with more meaning rather than twelve events that become diluted. All present members agreed on this theme selection of “Rich In…” Discuss subcommittee assignments Chantele Hancock brought forward that each committee member would need to select at least one subcommittee to focus on to assist in making this year of celebration a success. The subcommittees were set up during the January 11, 2024 meeting with new member assignments set as the following: Marketing/Branding/Logo (supported by Candice Edmondson) Jennifer Hartzke – lead Joyce Fiaccone Jenny Clark History of Richland Hills (supported by Chantele Hancock) Diane Barrette – lead Anne Bruton Nelda Stroder Natalie Howe Events (supported by Jason Brown) Shirley Goodman - lead Jenny Clark Natalie Howe Bill Garretson Donations/Sponsorships (supported by Jennifer Hilburn) Jenny Clark – lead Susan Himes Note: Nancy Arent and Deborah Rodgers have not been assigned a sub- committee and were not present for this meeting. Establish deadlines for 75th Anniversary branding, programs and events Chantele Hancock opened the discussion for specific events, including those discussed in the previous meeting, and added suggestions by Susan Himes (5K event and pickleball tournament) and Bill Garretson (vintage baseball game). Jason Brown mentioned we need a vision of what the big event at the end looks like so we can begin gathering cost estimates, which his staff at the Link is willing to assist with. Jenny Clark suggested we reach out to the schools and churches to host events. Ms. Clark also mentioned not only residents and businesses need to be interviewed for historical data but also including City Employees to gain their aspect of the City would be valuable as well. All members agreed. Jennifer Hartzke requested notes from Jason Brown regarding the original 70th Anniversary celebration to be passed out to committee members for ideas, cost estimates and what events were originally planned prior to the cancellation of those events. Mr. Brown agreed and will gather those documents for the group. Chantele Hancock mentioned the Librarian at Richland High School will assist with the recording of the historical data. She has the equipment and knowledge of recording. Her information will be given to Diane Barrette to begin this process. Through further discussion of finances, Jason Brown stated creating a sponsorship guide similar to what the City uses for events would be possible and his staff would be willing to assist with that. It was discussed that all items, events, funding for events need to be completed by the May meeting therefore City Staff would be able to present the items to Council. Jennifer Hilburn suggested to have most items detailed as much as possible by the April meeting to give some extra time before the hard deadline. Collectively the group continued to discuss marketing ideas, what the logo should look like to promote these events and who and how to market each event. Adjournment Chantele Hancock requested we end the meeting and allow the members to continue to brainstorm as they finished their dinner meal prior to the next event starting. Motion to end the meeting was given by Natalie Howe, with a second by Diane Barette. Meeting adjourned at 5:51pm and members stayed until after 6:00pm discussing ideas amongst themselves.
