HomeMy Public PortalAbout2023.08.09 GCAC MinutesGCAC MINUTES August 9, 2023 5:00 PM Club House Roll Call: Suzanne Gebhards, Eric McCormick, David DiMartino, Todd McKenna, Tony Araquistain, Jim Bodle, Rita Bolli-Neal, Ken Stearns. Public Comment: No comments received, guest Katherine Hansen, Kara Jeffus, Karen Driflot, and Ray Schmitz in attendance. Approve Minutes for July 12, 2023, Meeting: change made to spelling of staffing. Also "slightly under budget shall remain and remove the about $400." Motion made and passed unanimously with changes previously mentioned. Eric's Report: • Many college staff leaving after this week and high schoolers will likely be leaving shortly after. A couple of older seasonals will be around to see us through Fall. • Still have a couple of greens that are "suspect" due to extended snow cover and north aspect. May need to resod next year. Top dress was applied today to prepare for Pro -am and Chapman. Planning to remove some trees to open up greens to more sunlight. • Demo for the "Zipper" on cart path along Aspen 9. Considering the purchase of a 6' wide Zipper to the tune of $350,000. The bid for two and half holes to repave was $150,000. It seems to be a viable option to consider the purchase. Todd asked if some of the cart path LOT money could be used for the purchase of the Zipper. This machine would work well with the city bike paths. Rita asked if the city would be willing to split the cost of the machine. This machine will also prevent the need for large trucks and pavers on the golf course. Eric has discussed with Annette Spickard ad will communicate with Curt Wolf when he returns from vacation. • Planning to aerify after the 2 -man scramble in September (11-13). May close Aspen and Birch to make it quicker and simpler for staffing, could only take 2 to 4 days. Some talk about closing the course completely for one day. David's Report: • Losing some inside staff, the bulk of the cart staff is leaving, with a few high school kids to remain. • Budget - Overall, it's been super busy, everyday! Prior year total was $998,363, Current total is $523,856.33. • The Amateur went very well with super attitudes from all players, with the exception of "3 knuckleheads". Todd responds that all feedback he heard was very positive. A discussion ensued regarding 8 minute tee times versus 10 minute tee times and the back up around the 5 pars. Birch 3 was used as Number 1 for the tournament and David is not sure this is necessary. It works well then there is a spotter on true number 1 Birch. There was a record of 150 kids this year. Kudos to Craig and Georgia Lenzmeier for running the kids scoring. 94 women played. Kudos to Banyans, did a great job keeping up with the demand. • Todd asked on behalf of the public about the range and use of mats. Staffing requires the use of mats and it preserves the grass. David says next year may see some changes. The investment in balls, mats, baskets, and dispensing machine should be mostly paid for by next year. Hoping to get 5 or more years out of the mat. • David would like to meet with the Men's and Women's groups to discuss the Club Championship and the financial repercussions to the city. Also, would like to discuss the feedback on all tournaments to help make decisions moving forward on all tournament schedules. • David's meeting with Annette did confirm the 5% increase in rates. City will publicize for the upcoming budget review. Monthly Topic: Prioritize Capital Plan - We have more LOT money then we have match for. • Lift station Needs to be replaced. • New roof would involve new insulation (foam encased) because of duct work. Composite shingles would be used. • Ramp - should be re -bid this fall. Lights for the parking lot will be added to the bid. • Cart paths resurfaced. Old Business: Tee Boxes; Birch Tees finished. Update on Aspen Tee construction bid opens Friday the 11th. Landscapes Unlimited is still interested. Should be able to start the Aspen tees September 1. The new tees will need to be rerated and new cards printed. Ideally David would like to see if IGA will come out this Fall. • Rita asked about the Rules and Regulations. Children under 5 years of age are not allowed on the course. Review Project List: • Bathrooms, can be put to end of the priority list. • Move power out to the tent, especially for the future pavilion. • Club house addition for two simulators. Tony asked about adding on to both the Proshop as well as below. Height requirements for the simulators would prevent a second story. New Business: • Reports of people taking a divot out of a green. David and Eric ask the committee about an appropriate punishment. They would appreciate notice to both Men's and Women's clubs to be on the lookout for these acts of destructive behavior and report to the clubhouse. David and Eric have discretion to appoint punishment as they deem appropriate. • Rita and Eric will schedule a time to meet to rework the monthly topics for the advisory committee. • Rita asked about the fountain on number 2 Aspen. It broke this winter and Eric needs to order parts to fix. Rita is adding this to Eric's project list.
