HomeMy Public PortalAbout2023.10.11 GCAC MinutesGCAC Meeting Minutes October 11, 2023 5:00 PM Club House Roll Call: Kara Jeffus, Eric McCormick, David DiMartino, Todd McKenna, Tony Araquistain, Jim Bodle, Rita Bolli-Neal. Public Comment: No public comments. Tony made a motion to approve the September 13th minutes. Todd made 2nd motion and all other members were in favor of approving the minutes. Eric's Report: Tee construction update. Aspen #1-#5 are completed with dirt. There is enough sod on the truck to be able to sod #5, #8. Number #6 is ready to sod, while doing this tee construction they found some irrigation leaks and Eric was able to spend time fixing this issue. #9 Cleared trees and brush. If the rain continues and they can't work on sod they will tear out cart path. Moving old tee box and will be able to reuse the sandy soil on other parts of the course. Bridge Rebuild on #8 Cedar is scheduled and will be done by Community members who are serving community service hours. Tree work is still continuing and will continue as long as the weather holds out. Calvin is retiring and Kevin will be replacing him. University of Wisconsin will be doing the snow mold testing again. This will be taking place on Birch #8 and they will be doing the snow mold testing on the east side of the 150 marker. U of I is also going to be doing the testing and they will be west side of the 150 marker. Both surveys will look at how the plots do and how the different chemicals react and what type of mold grows. Eric is still awaiting bids for the lift station and has nothing new to report there. tournament schedule. It is just such a busy time for David/Pro Shop and believe the course would be better off to have that weekend available for Public Play. Monthly Topic: Update Monthly Topics — December — New Topic: Annual Report. It was decided that May and Oct topics will switch. Reviewing Marketing Plan will now move to October, and Review of Fee Schedule will move to May. This will help both Eric and David with budget numbers. January will be: Rates review/comparison. Old Business: Aspen Tees/Tree Removal. — Eric is checking on pricing for Stump Grinding and is hopeful that someone will be able to do this job. Review Project List: No changes. L) , • r\ �� �1 v►,va Y 1 The greens have recovered well and being able to work on all three nines at the same timeline has really helped with consistency. David's Report: Reporting 50K below budget, which he is not currently worried about. It was the first season of this new approach. Highlights from David — Overall throughout the season the pro shop was down on season pass sales. The revenue from the carts came in at $290,000 and the yearly cost is $90,000. The range still saw a profit even with such a large sum spent on improvements at the beginning of the year. Same with Club Rentals and buying a new fleet of rental equipment. The one issue they are concerned about is the daily trail fees and how to collect this money efficiently and promptly, so people aren't out there using personal carts without paying the trail fee. David and the staff are trying to come up with a plan on how to capture this lost revenue moving forward into next season. The lost rounds and revenue those would have provided during the course upgrades would have made a significant change in the overall budget numbers as both of those nines were closed for at least a month. Staffing for David is slowing down as the pro shop has moved to shorter hours and the range will close on Friday. Closure date is unknown and will be decided with Eric and his crew when the time comes. The search for an assistant Pro is still happening and David has meetings set up and hopefully an offer will be made soon. The new teaching pro will not be teaching lessons. Ron and Rich will continue to be the teaching pros. David will spend some time over the Winter season rebranding the logo for the Pro Shop/Golf Course. Believes that it is a good time to do so. David is still planning out tournament dates for next year and wants to talk to a wide array of people and get different perspectives from them and see what will happen moving forward.
