HomeMy Public PortalAboutamerican legion-Hall Rental Duties 07-1-18Hall Rental Duties July 1, 2018 Special groups: • City of Tybee — No rental fee. They may elect to pay the $200 cleaning fee or clean it themselves. Contract must be signed. • Non-profit — rental fee is waived for Tybee based non-profit organizations. They must pay the $200 cleaning fee and sign a contract. If a bartender is requested in the hall, they must pay the $75 bartender fee. • Celebration of Life — Do not charge if it is a member of the Legion family or a resident of Tybee. Non -Legion must sign contract and pay $200 cleaning fee (or elect to clean it themselves). Paper products are only provided for Legion family members. Member contracts: • Legion, Auxiliary, and SAL members must have been a member for at least one year before they can book the hall at $250 — dues must be current. • If members want a hall bartender, they must pay the $75 bartender fee. • Members have the option of doing their own cleaning. Obtain $200 deposit which will be refunded upon satisfactory clean-up (we can hold the check and retum it when the hall has been cleaned). When contract and deposit are received: • Send email acknowledging receipt of contract and deposit. If there is a balance due, give amount and due date. • Complete the cover sheet • Make copy of cover sheet, contract, and check • File contract cover sheet, and any correspondence in file cabinet (Legion office) • Give check to Legion finance officer • Note booking on large calendar in conference room — "Hall Rented" • Note booking on bar calendar and include bartender information (Canteen, hall bar, open/cash bar, number of people, time bartender is needed. • If renter wants a specific liquor, wine, or champagne, it must be purchased through the Legion — make Linda aware of what they are requesting. • With open bar, ensure bartender is aware of specific requests such as beer/wine only, dollar limit, champagne, etc. • Email Jacque Dorazio to add the date to the unavailable list. • Check calendar on a weekly basis to ensure it is up to date — many other people refer to this calendar Day before event: • When nedessary, arrange key pick-up when appropriate • Ensure bingo machine is stored away and the stage is cleared • Check kitchen and refrigerator — make sure they are clean ikeili AMERICAN LEGION POST 154' 10 Veterans Drive, PO Box 1225, Tybee Island, GA 31328 - (912) 786-5356 2016 HALL RENTAL APPLICATION Name of Renter: Home Address: Daytime Phone: ( ) Email: Date needed: Description of Event: Number of People: (193 maximum per Fire Marshall) Bartender needed in hall: _Yes ($75.00 fee) No _Cash Bar Open Bar Renter/person in charge must be available at setup and attend the event. On the day of the event you have full use of the hall between the hours of 8 AM until midnight. Kitchen is for food prep and reheating which includes the designated refrigerator, microwave, and convection oven. Ail other kitchen equipment is not allowed for use. . Kitchen must be cleaned & trash taken out to the dumpster in the parking lot. FEES; a. 5275 nonrefundable deposit paid at time of booking and signing of contract INITIAL: b. 5600 hall rental fee due ninety (90) days prior to the event INITIAL: c. 575 bartender fee due ninety (90) days prior to the event INITIAL: CANCELLATION POLICY: If the event is cancelled within 59 days or less of the event, only the hall rental ($600) and the bartender fee will be refunded; the $275.00 deposit is non-refundable. All monies refunded if cancelled before 59 days. INITIAL: NO outside alcohol is allowed on the property including the parking lot. For champagne or specialty beverages, it can be ordered for the event with a 20% mark up. For an open bar, a bartender gratuity of 15% will be added to the final bill. INITIAL: It is understood and agreed that the renter shall be responsible and liable for any and all damages caused by any guests/employees to the interior and/or exterior of the building or furnishings during the use of the hall. Nothing may be removed from the hall walls, stage, or ceiling for decorating. No fireworks or sparklers. Lit/flame candles must be in glass containers for safety concerns. SIGNATURE: DATE: WAIVER OF LIABILITY: In consideration of the right to use the American Legion hall, applicant, applicant's family, heirs, successors, representatives and/or assigns do hereby release, forever discharge, and agree to hold harmless American Legion Post 154, its officers, agents, employees, or representatives from any and all claims, demands, causes of action or suits of whatsoever kind or nature as a result of injuries or damages arising directly or indirectly from the use of the facilities or activities conducted herein, except for claims based on the sole of willful negligence or misconduct on the part of the Legion or its agents. SIGNATURE: DATE: AMERICAN LEGION POST 154 10 Veterans Drive, PO Box 1225, Tybee Island, GA 31328 - (912) 786-5356 2016 HALL RENTAL TERMS & CONDITIONS CLEANING: The facility- hall, kitchen, and bathrooms- must be cleaned, all decorations and trash must be removed in all areas. The rental applicant is responsible for removal of all personal articles, including leftover food, decorations, etc., and depositing trash in the dumpster in the Legion parking lot. All table tops, chairs, counter tops, and any appliances used must be wiped clean. You supply all cleaning supplies, food storage needs, etc. - We do provide you with garbage bags. Renter is not required to sweep or mop. If it becomes necessary for Legion personnel to do an extensive amount of cleaning following the event, the renter will be charged an additional cleaning fee of $125.00 payable to the legion within 10 working days. The facility must be vacated by the end time indicated, on the Hall Rental Agreement. If the renter requests an additional day to leave and retrieve any items from the event on the following morning an additional fee of $80.00 will be applied. Extended arrangements must be made in advance of the event and additional fees shall be included in final billing. Any items left past the event time are not the responsibility of the American Legion Post 154. You leave them at your own risk. DECORATING: • Nothing is to be removed from Legion walls, ceilings, or stage area. • The renter is not allowed to uses nails, push pins or any tape leaving any markings. Please no glitter, con etti, bird seed, any other decorative items not easily picked up. • No lighted materials are allowed in the building, such as candles, fireworks, sparklers. Battery powered or electric candles are permitted. This is a non-smoking facility. Guests may smoke outside in designated areas where canisters & ash trays are provided. Children should be supervised at all times. Due to the safety regulations, children may not play in or around the parking areas. ENTIRE AGREEMENT: This Agreement constitutes the entire Hall Rental Agreement between the American Legion Post 154, Tybee Island Georgia and RENTER. No oral agreements have been entered into, and all modifications or notices shall be in writing to be valid.
