Call to order
Bob Miller called to order the regular meeting of the Town of Brewster: Building Needs
& Assessment Committee at 7:30 pm on August 13, 2008 in Brewster Town Hall.
Roll call
The following were present: Bob Miller, Herb Montgomery, Paul Bradford, Don Poole,
Charles Sumner, Richard Kosinski
Minutes
The minutes of July 9, 2008 were reviewed and approved by the committee.
Golf HVAC
Bob Miller, Stephen Mann and Charles Sumner met with Alice Oberdorf from ARKO
Associates Architects to review the preliminary plans for the HVAC project. Alice was
able to redesign the project to locate the air handlers in the basement and the exchange
units outside near the existing units. This has the advantage of not disrupting the pavilion
room, the loading dock and the service driveway. Bob Miller is working with Alice to
insure that condensation and noise will not be a problem. The committee voted to
authorize ARKO to proceed with the construction and bidding documents. This project
will be put out to bid by mid September with construction starting in November 2008.
Charlie will include an article in the November 2008 Fall Yearly Town Meeting in case
there is a shortfall. At this moment it appears that adequate funding is available for this
project.
Eddv School
Phrase I of this project was completed by Varieka Construction in a satisfactory manner.
They will return after the November 2008 Special Town Meeting to complete the trim on
the gymnasium area.
Fire Station Proiect
Several members met this week with the Maguire Group and the Fire Chief to review
rough space needs program and feasibility study. The committee members discussed the
idea of combining shared/common spaces in order to provide greater flexibility in the
future. There were three options identified within the draft feasibility study. There was a
consensus that option 1 was not an approach that was looked upon favorable. The
Maguire Group is coming back to Brewster on August 25, 2008 to meet with the Building
Sub Committee. We are also tentatively scheduled to update the BOS on the status of
this project.

Town Hall HVAC Project
Charlie reported that it appears unlikely that the bid documents will be available prior to
this heating season. Jillian Douglass had authorized RISE to complete the final
construction documents; however, this project has lagged. It appears this project will not
be ready for bid until the summer of 2009.
Sub Committee Responsibilities
The members reviewed a draft subcommittee responsibility document. Several
amendments were made. The final document was unanimously approved by the
committee. Bob Miller will work with Doreen to make the final amendments.
