HomeMy Public PortalAboutStony Brook Mill Sites Committee -- 2009-01-22 MinutesTown of Brewster Mill Sites Committee Minutes of Meeting January 22, 2009 Attendees: Dana Condit, Chairman Faythe Ellis, Treasurer Joyce Davis, Secretary William Todd Sandra Godwin Absent: Roger O'Day, Carl Ahlstrom Meeting Called to Order at 7:05 PM by Chair at Brewster Town Hall. Review of September 29, 2008 Minutes. Motion: D. Condit motioned to accept minutes as corrected; F. Ellis seconded; passed. CPC Update, Dana Condit 1) We need a "Engineering Plan" in order to go forward with the bid. John Tark, Portland, ME has been contacted by D. Contdit. A. Shrake to meet with Mr. Tark regarding development of written plan for sluiceway and wheel. Estimated cost is up to ten percent of cost. 2) D. Condit to contact A. Shrake and Mr. Tark to develop a timeline. 3) Concern re: timeline for work discussed. 4) F. Ellis will contact Phil Lindquist re: another source for Engineering Plan and report back at next meeting. 5) Discussion of distribution of monies for this project due to current financial situation and decrease in funding as well as possibility of elimination of funding to CPC of a concern. Committee feels time is of the essence with this project. Brewster in Bloom 1) Date is May 1, 2, and 3; we will be open on Saturday, May 2"d, 10 AM to 2 PM. Z) Need to have volunteers to cover weaving and museum; Miller will have the Grinding Room open for review; no grinding on this weekend. 3) F. Ellis to identify volunteers. Finances 1) Outstanding $1,500 gravel invoice from A. Shrake will have to go before Spring 2009 Town Meeting for approval. D. Condit to review with Town Administrator. 2) F. Ellis presented Financial Report: Current Bal. Gifts and Donations: $2,596.39 Gen. Fund $1,767.78 3) F. Ellis will identify Outstanding Items and report at next meeting. 4) Need to purchase bags for corn and request a longer string for tying. If additional cost, the committee to discuss. D. Condit to contact F. Ellis with regard to cost. 5) DVD's: F. Ellis will speak with Frank Borek re: purchase, etc. of DVDs and report to committee. Mill Sites Committee Minutes January 22, 2009 Page 2. 6) Website Designer: S. Godwin and F. Ellis will have informational meeting and report back to committee. 7) As finances are low, and there is no increase in budget for 2008-09, committee agrees to proceed with caution with regard to spending. Public Access 1) D. Condit to contact Mr. Geisler (sp?) Chair of HCC re: handicap access guidelines and report to committee as it applies tQ Mill Site. 2) D. Condit to investigate Town Policy and Procedures re: public safety issues at Mill Site; i. e, weddings, etc. and report to committee. 3) D. Condit to contact DPW, Police Dept. and Conservation Com., re: public safety issues in connection with proposed Drainage Grant project. Also D. Condit will have a discussion with regard to possibility of installing brick walkway at Mill Site and including cost in this grant. "Mills & Gills" Committee F. Ellis gave a verbal report on the current status of this committee representing the Museum of Natural History, the Brewster Historical Society, and the Mill Sites Committee. Miscellaneous 1) New Signs -Peter Johnson has been contacted re: replacing signage at the Stony Brook Mill; this was tabled until F. Ellis receives information and then reports to committee. 2) F. Ellis to contact Ellen St. Sure (Town Archivist) re: new center display in museum. 3) D. Condit to contact S. Godwin (Miller) and A. Shrake with re: to sharpening the grinding stone prior to opening of 2009 season. 4) Dates: 6/27 open for season, 7/25 Indian Pudding Festival, 8/29 Cornbread Celebration and closing for season.
