APPLICATION LAUNCH AND REGISTRATION: Launch URL https://titlequote.stlmsd.com/titlequote/#/ and click the link “Register a new account”. USER REGISTRATION: User can select the desired tab and register as “Title Company” or “MSD Law Firm” or “MSD AR” using the tabs at the top of the registration page. User then need to provide his company and personal information. MSD AR user just need to provide their personal information. Law Firms can only be created by MSD Admin. Users can register to the available law firms only. Currently, there are three law firms Heimos, Kramer & Frank and Gusdorf; where users can register. Users need to enter all mandatory fields to register. Password to be created as per following guidelines: The password must be between 8 and 16 characters. It must contain at least 1 upper case letter, 1 lower case letter and 1 number. Special characters are allowed but not required. Training Document for Title Quote Application Retooling Page 6 of 225 Once the information is entered, the user needs to read and check the “Terms of Use” option and complete the registration process by clicking the “Register” button at the bottom. ACCOUNT ACTIVATION: User will receive approval / denial email from MSD within 24 hours post account activation process (please refer MSD AR login process – Section 2.2.1) followed by MSD Admin. 4. FORGOT PASSWORD AND RESET PASSWORD: If the user forgot his password, he can click the “Forgot Password” link on the Login Page and follow the reset password process. Training Document for Title Quote Application Retooling Page 10 of 225 Once the password is reset, user can login with new credentials. 6. LOGIN AS AN MSD AR ADMIN USER: a. QUOTE QUEUE, NEW QUOTE AND SYSTEM MESSAGES: On an MSD Admin user login, the home page displays the account management and system settings tabs if there are any pending action to be taken to approve/deny a user . If there are no user related action items for the MSD admin the home page will display the quote queue and new quote tabs. In the case where user related actions are pending the MSD admin can traverse to see the quote queue by pressing the home button at the top navigation bar. System message (if any) will be displayed at the top. MSD admin user can sort the quotes basis stage, seller name, service address, zip code, locator number, quote ID, submitted by and assigned by categories. Training Document for Title Quote Application Retooling Page 14 of 225 MSD admin user can search for a specific quote depending on the search criteria like locator number, property address, business name, owner name and quote ID. Quote queue is displayed after clearing the search. MSD admin users can use the page controls at the bottom to view quotes in multiple pages. MSD admin users can assign a quote to a law firm or back to the title company from the quote queue by selecting the assigned to drop down. Training Document for Title Quote Application Retooling Page 20 of 225 The queue assigned to a law firm / title company appear in the law firm / title company user’s quote queue. MSD admin users can click the stage icon at the beginning of each quote (row) to view the details of the quote. The quote detail page will have options to go back to the quote queue, print, update of cancel the quote details. Notes, files and the history related to the quote can also be viewed in the quote detail page. MSD admin user can print the quote detail by clicking the print button on the quote detail page. MSD admin user can update the details of the quote on the quote detail page. The Account Sub-Total amount and Total Quote Amount will be updated, as well. Notes can be marked as private or it will be public and visible to all. Files attached can be marked as private; or it will be visible to all. The MSD admin user is taken back to the quote queue page after the quote is updated successfully. Details like judgement information, quote amount, comments/history can be viewed in the quote details screen. Quote details screen will have options to print, view quote details. Users can click the “Quote Details” button to view all details like judgements, quote amounts, comments and history of the quote. Training Document for Title Quote Application Retooling Page 37 of 225 NEW QUOTE PROPERTY SEARCH MSD admin users can search for a new quote using the new quote tab on the home page. Search can be done based on different criteria like locator number, property address, business name, owner name and account number. The search results will be displayed on the right pane. The search result will have all the details and previous transactions (if any) listed at the bottom. MSD Admin user can view the details on any previous transaction related to the property by clicking the stage icon at the beginning of the quote (row). All notes, files attached, history related to the quote can be viewed and printed using the print button at the bottom. USER PROFILE SETTINGS EDIT/UPDATE: Training Document for Title Quote Application Retooling Page 41 of 225 User can edit and update his profile by selecting the Profile option on the top navigation bar. User gets a confirmation that the profile is updated. c. USER ACCOUNT MANAGEMENT: User can select the “Administration” menu option on the top navigation bar to manage accounts, law firms and add system messages. Training Document for Title Quote Application Retooling Page 42 of 225 Account Management home page will display two sections; one page having all account management capabilities and one page which enables the admin to manage system settings. The account management tab displays a list of all MSD and Title Company users except the ones who are inactive. The law firm users are also not displayed by default. If the user selects the option “Show all users”, all inactive and law firm users will also be added and displayed in the list. The user can also export the grid displayed as .xlsx document using the icon at the top. Training Document for Title Quote Application Retooling Page 43 of 225 d. DATA SORTING AND EDITING ROLE AND STATUS: As a part of user account management, the MSD Admin user can sort data based on first name, last name, user name, company, role, status and last login. The admin user can set a role and change status as desired/applicable. e. APPROVE OR DENY A USER: The admin can approve or deny the user activation by selecting the user and clicking the approve/deny button at the end of each row. i. DELETE USER The admin user can delete a user by selecting the user and clicking the delete button at the bottom. The user will permanently be deleted from Title Quote system. EMAIL A USER: MSD Admin user can select any user and click the email button at the bottom. Email can be composed and sent to user from the account management screen. Users will receive the email from do-not-reply-title-quote@stlmsd.com. h. USER SEARCH: Admin user can search a/set of user based on pre-defined search criteria. SYSTEM SETTINGS VIEW/EDIT AND UPDATE: MSD Admin user can also view and edit the system settings related to users, quote items, title company and law firms by selecting the “System Settings” tab. LAW FIRM MANAGEMENT: Law firm company details can be managed by clicking the “Law Firms” option in the “Administration” menu at the top navigation bar. VIEW/EDIT LAW FIRMS: MSD Admin can view, edit or delete an existing law firm in the system. Law firm details can be viewed and edited as needed. The registered law firm will permanently be deleted from Title Quote system. l. SYSTEM MESSAGE MANAGEMENT: An MSD admin user can create and publish system messages providin g the message with its display duration. System messages can be viewed, edited using the icons at the end of each system message record. USER PASSWORD MANAGEMENT: Password Expired: If the user’s password has expired and the user logs in u sing his old password, he will be prompted with a screen to set his new password. SYSTEM MESSAGES: Homepage for a title company user will display the quote queue and new quote for a property option. System messages will be displayed at the top of the quote queue right pane. b. QUOTE QUEUE: A title company user gets his quote queue displayed at the onset after login. All quote items with details like seller name, service address, zip code, locator #, Quote ID, Quote Amount, Closing Date, Quote Stage and submitted by are listed in multiple pages Training Document for Title Quote Application Retooling Page 55 of 225 (15/configurable quotes per page). Quote stage icons are displayed in front of each quote. User can click the stage icon to see the details of a quote. Details of the quote have quote item information, owner / buyer information, transaction documentation and disclaimers and policies for the quote. Title company user can click the back to quote button on the quote detail screen to go back to the list of all quote items. Training Document for Title Quote Application Retooling Page 57 of 225 The user can cancel the quote by clicking the cancel button and submitting the reason for cancelation. The quote canceled is removed from the list of quote items and the quote queue is displayed. Different Quote stages like in progress, pending close or awaiting payment are displayed with different icons which displays the quote detail when clicked. User is taken back to the list of quote items in the queue. c. NEW QUOTE / PROPERTY SEARCH: Title company user gets the quote queue displayed at the onset after login. The user needs to click the “New Quote” tab to search for a property, create a quote or request a quote preview. The search results are displayed on the right pane. User can perform any action on the property as needed. User can print ledger details by clicking the print button on the popup. Ledgers are available for any account associated with the premises that has a balance. Ledger will display transactions back to last zero balance. REGULAR SALE QUOTE: A Title company user can create a regular sale quote by searching a property in the “New Quote” tab and click the regular sale button at the bottom of the page. User can indicate if the seller they are working with is different than the owner per MSD’s records. User can indicate if they know the seller’s new mailing/forwarding address and enter the respective information. User will need to key in the closing date, buyer details and hit the submit button to create a regular sale quote. When the closing date and buyer details are submitted using the submit button at the bottom, a regular sale quote is successfully created and listed in the quote queue of the title company user. Training Document for Title Quote Application Retooling Page 78 of 225 e. CANCEL QUOTE – REGULAR SALE: User can click the quote stage icon on the quote queue list to view the quote detail page. A quote created can be canceled by clicking on the cancel button at the bottom of the quote detail page. User must then select a reason for canceling quote item. FLIP QUOTE CREATE, UPDATE AND CANCEL: Title company user can flip a quote created by another user for a regular sale; using the flip button in the quote detail page. User can get the quote detail page by clicking the quote stage icon on the quote queue page. A new flip quote is created. User can preview the changes by clicking the “Preview” button. User can print the preview by clicking the “Print” button. Editable information like closing date, buyer name can be entered, previewed and printed by clicking “Preview” and “Print” buttons on the update page. Once all information needed are updated, user can update the quote by clicking the “Submit” button at the bottom. A reason to cancel is needed to cancel the quote. Canceling a flip quote will also cancel flip quote item associated with the locator number. FORCLOSURE QUOTE: A Title Company User can create a foreclosure quote by searching a property in the “New Quote” tab, selecting the respective property and click the Foreclosure button at the bottom. Users can also preview the estimated quote amount for the closing date and print the same. QUOTE TRANSACTION CLOSED (USER LOCKED): When the closing date of quote created is lapsed; the title company user screen is locked. Only the quote queue is displayed indicating the user needs to take immediate action on the lapsed quote. The quote detail for the quote which locks user has options to print, close transaction and cancel the quote. When the user searches for a property which has multiple premises for a single locator number, all premises are listed as a search result. The user can verify the property details with their records and proceed to create a regular sale, foreclosure or a refinance quote. If the user sights a discrepancy in the property det ails, the issue can be reported to MSD using the “Report Issue” button. User can enter the details of the issue/discrepancy in a popup and send the same to MSD. The popup is an email editor which has features to send, clear and cancel. The title company user cannot update an “In Progress” quote. Notes and attachments added by the law firm user will also not be visible to the title company user. Disclaimers at the top of the quote detail screen are contextual to different business rules like stage of the quote, court date, closing date, etc. If a judgement is added by the law firm user, then the title company will see a transcribed judgement discl aimer in the quote detail “Disclaimers and Policies” section. If law firm user has indicated pending court case before the closing date; then the title company will see a court date disclaimer in the quote details.
