ADJOURNMENT NEXT MEETING DECEMBER 16,2010 BREWSTER HOUSING AUTHORITY REGULAR BOARD MEETING THURSDAY, NOVEMBER 18, 2010 CALL TO ORDER: Chairman Robert Hooper convened the regular meeting of the Brewster Housing Authority's Board of Commissioners at 5:02 PM in the Community Room of 11 Frederick Court, Brewster, MA. PRESENT: Robert Hooper, Brian Harrison & Mary Haynes ABSENT: Dion Dugan ALSO PRESENT: Jackalyn J. Courchesne APPROVAL OF AGENDA: A motion to approve the agenda was made by Brian Harrison, seconded by Mary Haynes and voted unanimously. APPROVAL OF MINUTES OF REGULAR MEETING OF OCTOBER 21, 2010 A motion to approve the minutes of the Regular Meeting of October 21, 2010 was moved by Brian Harrison, seconded by Mary Haynes and voted unanimously. CITIZEN PARTICIPATION: None CHAIRMAN'S REPORT: A. Mr. Hooper stated that Ms. Courchesne and Mr. McElroy held a pre- construction meeting on November 2"d with Paul Viera of Paul's Plumbing & Heating and the Notice to Proceed was executed. Mr. Viera will start the conversion of the toilets by doing units 10 A,B,C,D first to see if any problems arise. He will do those 4 on November 17th. The tenants in that building have been notified. After that is finished we will then proceed to the next units. B. Mr. Hooper asked if Ms. Haynes had a chance to discuss the vacancy with Ms. Shea and she stated that she had but Ms. Shea was just starting her retirement and was not interested at this time. Ms. Courchesne will speak to Mr. Levausseur. Minutes of November 18, 2010 Page 2 of 3 EXECUTIVE DIRECTOR'S REPORT: A. Ms. Courchesne reported that a 3 bedroom became vacant as of 11/1/10 at Huckleberry Lane. She has requested that we keep that unit offline until after the toilet project is done so that the tenants have an emergency toilet facility. The 667 and Kings Landing units have remained the same. B. Ms. Courchesne reported that Steve Cote of Fenton & Ewald would like to come to the December board meeting in order to present the year end and the FY11 budget for the board's approval. We may need to look into and alternative date for the meeting. CORRESPONDENCE: Correspondence listing is made a part of these minutes. OLD BUSINESS: None discussed. NEW BUSINESS: None discussed. BILLS: Brian Harrison made a motion to approve the bills and sign the checks for the 11/12/10 thru 11/26/10 warrant as presented; Mary Haynes seconded the motion which passed unanimously. ADJOURNMENT: Brian Harrison made a motion to adjourn the meeting; Mary Haynes seconded the motion which was voted unanimously. As the orders are placed using personal credit card,they are taxable. As referred below,the previous purchases would be on customer#which is created on business segment and will have exemption on file. Thus the orders would be tax exempt. Through the Mobil P.C. Doctor we recently purchase a new desktop and laptop for this office. The Order#is 474496416. We do not have a business credit card and when we need to make a purchase I use my personal Bank of America card. Mobile P.C. has order from Dell for us before and we have not been charged the tax. Mobile P.C. has tried a number of times to clear this matter up with no success. I therefore am stepping in as I am being charged interest on the tax balance. The merchandise charge was $1,709.99 and the tax charged was 106.88. I am looking for the 106.88 charge to be taken off of my credit card.
