HomeMy Public PortalAbout20140324 - Parks & Recreation - Meeting MinutesHopkinton Parks and Recreation Meeting Minutes of 3-24-14 The Parks and Recreation Meeting was called to order by Chairman Bob Dobinski on Monday, March 24 at 7:20pm Eric Sonnett, Tim Kilduff, Kevin Hanley and Jack Nealon were present. Kelly Grill of the HCA was present. Meeting Minutes from the 3-10-14 meeting were approved. 3-0 Summer Concert Series: -Kelly Grill explained the HCA Building plan; the project is on track to finish by 2015 -Outdoor amphitheater -Discussion of the summer concert series this summer and the future -Benefits of collaboration between the two groups on summer concerts ->Larger attendance-reach ->HCA would pay for addition children/family friendly acts ->Bring in other groups ie. PTA, local businesses, non-profits -HCA survey -Bands- Current Bookings -Marketing Plans- flyers, social media, HCAM/YoutTube, website, newsletters Motion- Motion to accept the proposal as presented by HCA regarding the Summer Concert Series with a budget up to $10,000 4-0 Motion- Motion to pay $2555.98 to the Hopkinton Center for the Arts for the purchase of addition staging equipment. 4-0 Marathon Update- Discussion as to the security precautions - Marathon Day Procedure - Parking for Vendors Budget Update- Discussion of the Fruit St. Fund Directors Report: -Mass Rec Conference. -Marathon Applications are coming in. -Dan from AT&T liability, go in with Town Hall? -Got Okay for 2 Camps 1 at Center 1 at Elmwood -Research on registration systems, most towns use myrec.com -Met with Youth Commission -Partnering with early release day May 16th -Some event in the summer. Maybe helping out at Movies on the Common. -Met with Cathy Macleod, Al Rogers, and Lisa Carty about continuing ed classes. -Improvements to common- Mike Whalen -Fax/scanner for office -Fruit St tournament – for next year, nail down some rules/regulations and policies/procedures -Tournament this weekend brought in $13,000 -Aluminum Goal posts blowing over -Interviews for Summer staff start today. -scholarships for summer programs (sent via e-mail) -Mother wants child to come to camp but is 13yrs old -Warrant for wine tasting on Common would like to include Town Manager or Town Selectmen -Community Garden, fence repair. -Where should be put basketball equipment? Chairman’s Report: -Babe Ruth is looking for a president -High School use of Fruit St Fields -Community Fitness center is seeking a $75,000 renovation Motion- to suggest to Hopkinton Youth Soccer and Parks and Recreation offer a rate of $40 to Hopkinton Athletics and HYS, beginning 3.17.14 4-0 Liaison Report: Marathon Fund- Approved funding for half of the stage at the HCA Meeting adjourned at 8:56 PM Next scheduled meeting 4-14-14 at 7:00pm Minutes Prepared by Jack Nealon
