Search Subcommittee -- 9/9/2014 Minutes ni-r--rr-,71-7" .-7-P JAL LI tig'6 J Superintendent Search Committee September 9, 2014 _ : - Central Administration Offices _ Present for the Committee: Joanne Irish, Gail Briere, Brenda Cazeault, Mort Inger, Ed Lewis,John O'Reilly and Ann Caretti Others Present: Dr.Joseph Gilbert and Dr. Patricia Grenier, Cape Cod Collaborative Call to Order Chair Irish called the meeting to order at 4:10 p.m. Representatives from the Cape Cod Collaborative Center for Executive Search reviewed all aspects of the search process with the committee. It was noted that Dr. Grenier will be the lead consultant for the search and Dr. Gilbert will assist. Dr. Gilbert reviewed the history of successful searches by the Collaborative for Cape Cod. Dr. Gilbert reviewed the overall responsibility of the search committee and emphasized the confidentiality of the search and the need for members to be well aware of the privacy of all applicants and need to secure all documents that are being reviewed so that others, even family members, are not able to read information. Search committee members signed a"Confidentiality Statement" indicating their complete confidentiality in all deliberations and discussions by the Search committee. He indicated that Nauset may have between 20-30 applicants and that the search committee will be able to review all materials. Applications will be placed in a binder for members of the committee. He reviewed the difference between applicants, candidates and semi-finalists. He also indicated that the Collaborative will develop a Search Brochure and handle the advertising for the position in the Boston Globe,Education Week, Portland ME, Providence Banner, MASC, MASS and School Spring. He reviewed the timeline of the search and the committee agreed to the following: 12-14-2014 -Open Search(Ad in Boston Globe) 2-10-2015 - Close Search 2-12-2015 —Applications to Search Committee Members—Read at Central Office 2-25-2015 —Search Committee convene to review resumes 2/25—3/5/15—Search Committee Interviews 3-6-2015 —Finalist Candidates Announced 3-9- 13,2015—Small group visits other districts/schools 3-18-2014—Joint School Committee meeting—finalist announced/interviews It was also noted that communications should be by telephone and not sent through email. 1-Supt.Search Subcommittee 9-9-2014 The Superintendent's compensation was discussed and it was the consensus of the committee to set a range based on information that will be provided at the next meeting by Dr. Gilbert regarding salaries of superintendents on Cape and surrounding areas as well as other regional school systems. The Collaborative will make a recommendation as to the salary range. A report will be given to the Joint School Committee on October 15t regarding the salary range and timeline. At the next meeting the committee will discuss the budget, strategy and publicity. Forum groups and dates will be discussed at the next meeting. Input from Town officials was also discussed. School Committee members will have an opportunity to provide input at their individual meetings. Chair Joanne Irish brought up a question regarding obtaining three quotes for services of the executive search engine. She has a quote from the Collaborative, a verbal quote from NESDEC and is waiting to hear from MASC. The Executive Director of the Collaborative sent an opinion indicating that if you are a member of a collaborative that you do not have to get three quotes. He stated that any district can get quotes,but you are not bound to do that with the Collaborative. Ms. Venditti, Director of Finance and Operations,joined the meeting to discuss the bidding laws and quotes. She would like to confirm the memo from Mr. Hilton, Cape Cod Collaborative. She also indicated that if the cost is under$10,000,quotes are not necessary. MOTION: On a motion by Mort Inger, seconded by Ed Lewis, it was voted unanimously to enter into agreement the Cape Cod Collaborative at the price of$9,990 and not seek further quotes. (Drop one focus group/change order to add focus group in if needed) Dr.Ann Caretti indicated that the principals would like to have input in the process. The committee indicated they would have an opportunity for input at a forum. Approval of Minutes On a motion by Ed Lewis, seconded by Mort Inger, it was voted unanimously to approve the minutes of August 25, 2014.
