HomeMy Public PortalAboutResolution 85-2375 Destruction of RecordsRESOLUTION NO. 85 -2375 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF TEMPLE CITY APPROVING THE DESTRUCTION OF CERTAIN CITY RECORDS. WHEREAS, Sections 34090, 34090.7 and 34091.5 of the Government Code authorize the destruction of City records upon approval of the legislative body of the City and with the written consent of the City Attorney provided that said records do not fall within certain speci- fied categories and are not less than two (2) years old; and WHEREAS, the City Manager has requested authority for the des- truction of certain records which do not fall within the excepted categories and all of which are more than two (2) years old; NOW, THEREFORE, BE IT RESOLVED BY THE COUNCIL OF THE CITY OF TEMPLE CITY, AS FOLLOWS: SECTION 1. That the following listed records be destroyed in the appropriate manner: A. ADMINISTRATION 1) Budget Data (back -up data and copies accumulated within Departments) prior to 1982 2) Personnel (Applications for Employment, Recruitment Advertising, Salary Surveys, Vacation, Sick -leave Records) per Retention Schedule B. ANIMAL CONTROL 1) Dog License Ledgers prior to 1983 2) Dog License Receipts prior to 1978 3) General Correspondence and Reference Papers prior to 1983 4) Impound Records prior to 1978 5) Service Request Forms prior to 1983 C. CITY CLERK 1) Agreements - Independent Contractors prior to 1983 2) Business License - Annual (2nd and 3rd copy) prior to 1984 3) Claims for Damages prior to 1975 4) Criminal Complaints prior to 1975 5) Election Materials per Records Retention Schedule and pursuant to Elections Code 6) General Correspondence and Reference Papers consisting of documents which duplicate copies filed elsewhere; rough drafts and other papers which contribute to pre- paration of documents prior to 1984 7) Miscellaneous /Departmental County, State and Federal prior to 1934 8) Organizations (California Contract Cities, Independent Cities of Los Angeles County, League of California Cities, Rapid Transit District, South Coast Air Quality Management, Southern California Association of Govern- ments) at the discretion of City Manager RESOLUTION NO. 85 -2375, Page 2 9) Permit Applications - Bingo prior to 1978 10) Permit Applications Charitable prior to 1983 11) Permit Applications - Fireworks prior to 1983 12) Permit Applications - Yard Sale prior to 1984 13) Proclamations prior to 1983 14) Resolutions - Other Cities prior to 1984 15) Service Requests - Trees prior to 1980 16) Tree Removal Requests (completed and denied) prior to 1980 D. FINANCE 1) Bank Reconciliation Statements prior to FY 1979 -80. 2). Expenditure Journal prior to FY 1979 -80 3) Numerical Receipts prior to FY 1980 -81 4) Paid Invoices prior to FY 1975 -76 5) Receipt. Journals prior to 1979 -80 6) Numerical Warrants prior to FY 1980 -81 E. PLANNING 1) General Correspondence and Reference Papers consisting of documents which duplicate copies filed in the City Clerk's office or elsewhere; documents which require no action; rough drafts and other papers which contribute to preparation of documents prior to 1984 2) Reference Files concerning State and Organizations prior to 1984 3) Zone Enforcement Files prior to 1980 F. PUBLIC WORKS 1) General Correspondence and Reference Papers consisting of documents which duplicate copies filed in the City Clerk's office or elsewhere; documents which require no action; rough drafts and other papers which contribute to preparation of documents prior to 1984 2) Overnight Parking Permit Applications prior to 1980 3) Traffic Signal Maintenance Files prior to 1980 G. PARKS AND RECREATION 1) Agreements prior to 1984 2) Building, Grounds and Maintenance Files. prior to 1975 3) Class Registration Forms prior to 1983 4) General Correspondence and Reference Papers consisting of documents which duplicate copies filed in the City Clerk's, office or elsewhere; documents which require no action; rough drafts and other papers which contribute to preparation of documents prior to 1934 RESOLUTION NO. 85 -2375, Page 3 SECTION 2. The City Clerk shall certify to the adoption of this Resolution. APPROVED AND ADOPTED this 16th day of July, 1985.
