HomeMy Public PortalAbout2020-12-02 minutesMinutes City of Jefferson Parks and Recreation Commission Oak Hills Advisory Committee Work Session December 2, 2020 Attendance: Committee Co-chairs Andre Grinston and Stu Murphy; Committee Members: Joanne Scheperle, Mike Roling, Scott Englund, Steve Duncan, and Russell Rottmann. Staff: JJ Gates, Bryan Braun, Stephanie Bruemmer, Todd Spalding, and Rena Barron Call to Order Committee Co-chair Stu Murphy called the meeting to order at 12:02 PM via WebEx. Financial Report – End of FY20 (pre-audit) and FY21 Budget Assistant Director, JJ Gates, commented on the COVID-19 Virus and the affect it has had on Oak Hills Golf Course. The financial report included in the packet reflected the total revenue and expenses. The golf course had a 78.5% cost recovery. Program Manager, Stephanie Bruemmer, mentioned the increase in rounds in year 2020 and the course is continuing to be busy even into the month of December. JJ Gates informed the committee that the FY21 revenue projection is lower than past years due to skepticism of the Corona virus. No major equipment purchases are expected in year 2021. Programming and Tournament Update / Program Surveys Stephanie Bruemmer remarked that the Jr Golf Camp and Clinics were well attended. There were eight instructors and 24 junior golfers. Social distancing was a main factor to keep everyone as safe as possible. The first month of adult golf lessons were canceled due to COVID-19. Once it began, golf instructor, Troy Pinkerton, focused on providing excellent instruction. He recommended that Oak Hills start a “ladies” golf clinic in 2021, because he has had numerous inquiries and requests. Thursday Night Open League was a huge success this year with nearly 54 2-person teams playing each event. In addition, forty tournaments were scheduled this year. Due to the Corona virus, twenty-nine tournaments occurred; this is the exact number of tournaments that occurred in year 2019. Program surveys were sent out again this year. Survey results were included in the meeting packet. Very positive comments were received with the golf course getting rave reviews. Committee Co-chair Murphy thanked the staff for the excellent customer service and agreed that a ladies clinic would be a great enhancement for year 2021. Course / Maintenance Update Golf Course Superintendent, Bryan Braun, summarized the 2020 yearly course maintenance report which was submitted to the committee. New landscape grass trials and course projects were completed which increased playability. Phillip 66 Pipeline completed the horizontal directional drill project and the site cleanup and restoration has occurred. Bryan went over the mowing schedule along with the tree pruning and removal plans. The staff paid great attention to details and worked on putting out a great project on a daily basis. The golf course mechanics were an enormous asset with maintaining the equipment. Bruemmer and the committee thanked Bryan and his staff for their remarkable job on the condition of Oak Hills Golf Course. Fee Adjustments JJ Gates presented the fee adjustments proposed by staff. A comparison of golf course fees in the surrounding area was completed. A $1.00 increase was recommended on all green fees and cart rentals. A $25 increase was recommended for adult and senior seasonal passes. A .25 cent increase was proposed for all sizes of range balls. Committee member Russell Rottmann made a motion that the fee adjustments be approved as presented. Committee member Steve Duncan seconded the motion. The motion passed with all voting in favor. Golfer / Public Feedback Along with the survey results, Committee Co-chair, Andre Grinston, mentioned that he has had many people make comments to him referencing the improvement of the course, how it is in great shape, and of the excellent clubhouse management. Other Business JC Parks is in the process of building a new website which will be more user friendly than the current city website for Parks. Bruemmer also mentioned that a drone had flown over Oak Hills and took photos of all 18 holes. The photographs are on the current website. She encouraged the committee members to view the beautiful pictures. Adjournment Being no further business, the meeting adjourned at 12:27 p.m. The next meeting date will be April 7, 2021 at Noon.
