HomeMy Public PortalAboutOctober 5 2017 Reglar Session Greencastle Board of Park Commissioners Minutes of the Regular Meeting Thursday, October 5, 2017 Present: President Beva Miller, Vice President Dr. John Hennette, Secretary Cathy Merrell, and City Council liaison Steve Fields Absent: Tim Trigg Also Present: Parker Black and Ms. Candy Fiscus — GHS Key Club, Mayor Bill Dory, Staci Peterson, Jessica Hartman—CEC Consultants, DePauw University WGRE correspondent Tyler Rosen, Eric Bernsee — Banner Graphic, Assistant Parks & Recreation Director Erin Ray, & Parks & Recreation Director Rod Weinschenk Call to Order Public Input GHS Key Club—Representing the Greencastle High School Key Club, Parker Black and Mrs. Candy Fiscus were in attendance to request permission to pass through Robe-Ann Park on Saturday,November 4, 8:30-9:30 a.m. as part of their 3rd Annual Color Run. • This fundraiser 5K event will be completed to benefit Riley Children's Hospital toy drive. On a motion from J.Hennette, second by C.Merrell,permission was granted. All Ayes. Brickmania Challenge Awards Assistant Director E.Ray presented a first place award to Stacey Petersen for her entry into the Halloween Brickmania"Trick or Treat"Challenge. Approval of Minutes—Director R.Weinschenk presented minutes from the regular meeting held on Wednesday, October 5, 2017. On a motion from J.Hennette, second by C.Merrell, the minutes from the regular meeting were approved as presented. All Ayes. Approval of Monthly Claims & Invoices—A few questions were asked about the claims. 1. Splashpark—An inquiry was made in regards to the AA Huber& Sons repairs to the splashpark. Director R.Weinschenk explained that the faucet serving the hand sink in the restroom wouldn't shut off, so needed repaired. 2. Park lights—Director R.Weinschenk was asked as to which set of lights needed repaired 3 Kings Electric. He explained that it was various sets, including the outlets at the base of the overhead lights around the pool and the electric sensors which control the aquatics center parking lot lights both needed repaired prior to the July 4th festivities. It also included a special "pig tail" electric cord for shelter #2's pancake breakfast. • 1 r • • • -e 3. Approval—On a motion from J.Hennette, second by C.Merrell, the monthly claims and invoices were approved. All Ayes. Old Business 1. Bandshell Update—J.Hartman with Civil Engineering Consultants and President of the Friends of the Park, was in attendance to present the latest concept renderings from Scoggins Designs. Ms. Hartman stated a meeting has been scheduled for October 25th by Committee Chair Latoshia Everson. The board thanked her for her presentation stating they were pleased with the renderings. 2. RecDesk- Director R.Weinschenk gave an update in regards to the RecDesk on- line registration software that was proved at the September meeting. Design of the website has gone well and went"live"on Wednesday, October 4 making on- line registration available to our patrons. 3. HWC & 5-Year Master Plan—Director R.Weinschenk gave a review of the kick-off meeting held on Wednesday, October 4th held in the parks & recreation department office. The purpose of the meeting was to discuss general proect scope, determine key meeting dates and to have general discussion about current facilities and project goals. The next key set of meetings will be held prior to and during the November park board meeting. 4. GHS Cross Country Meet — Director R.Weinschenk reported that the GHS Invitational Cross Country Meet was held on Saturday morning, September 23 at Big Walnut Sports Park. It was estimated that over 1,500 people attended and all parking spaces in the eastern-most, central and youth baseball parking lots were 1110 full. No complaints from the youth leagues were received. 5. Glow Throw Disc Golf Tournament — the 3rd Annual Glow-Throw Disc Golf Tournament was held on Saturday evening, September 30 beginning at 5:00 p.m. The 19 disc golf baskets were lit up and participants received glow-in-the-dark discs. The first round was played in the early evening, while the second round was played after dark. At $30 per player, we drew 27 throwers. Upcoming Programs 1. Hunt for the Great Pumpkin—Assistant Director E.Ray reported that we have a number of Halloween activities scheduled for Saturday, October 28 all of which culminate with the annual Hunt for the Great Pumpkin Program. In short, this Halloween based"Easter Egg Hunt"will involve the 6-8 graders searching Robe- Ann Park with flashlights to find orange and black plastic "mini-pumpkins. Help was requested from the board members. a. Suggestions for other prizes included: 1) Terre Haute Children's Museum 2) Ark Encounter 3) Bloomington Rock Climbing 4) Skyzone in Indianapolis 5) Mega Cavern in Louisville Next Meeting The next regular meeting of the Greencastle Board of Park Commissioners will be held on Thursday evening, November 2 at 7:30 p.m. and host our Public Input Goals & Objectives meetings. The meeting is scheduled for Greencastle City Hall. Adjournment On a motion from T.Trigg, second by C.Merrell, the park board meeting was adjourned at 8:40 p.m. All Ayes.
