As you are aware, the Town of Gulf Stream received more than 2,000 public records requests from January 1, 2013 through October 14, 2015. Beginning in or about late June 2014, the Town began uploading to its website public records requests and responses to public records requests. As a result, responses issued by the Town to public records requests after late June 2014 are generally available on the Town's website. Those responses are publicly available to you by going to www.gulf-stream.org, click on "Find a Town Record", click on "Public Records Requests", click on "2013", "2014" or "2015", click on "Public Records Requests 2013", "Public Records Requests 2014" or "Public Records Requests 2015". The requests and responses can be cross-referenced with the "Public Records Number Log" also posted on line for the pertinent year. In order to fully respond to your request and produce all responses to all records requests during the pertinent time period will require extensive use of clerical or supervisory assistance. There were over 400 record requests that were received before the log was started as well as an estimated 800 responses that were not put online. The Town estimates that to respond to your request the Town will require over 100 hours of administrative support at $40.51 per hour, the labor cost of the personnel providing the service, per Fla. Stat. § 119.07(4)(d). As a courtesy to you, the Town is requesting a deposit for just 40 hours of the work to start. If the costs of producing these documents will exceed your deposit, the Town will provide you with an initial production of responsive records and an estimate for the production of any additional responsive records. If the costs of production are less than the deposit, the Town will provide you with the responsive records and a refund. (40 hours @ 40.51 = 1,620.40) — (.25 hours @40.51 = 10.13) = Deposit Due: $1,610.27 in cash or check. Upon receipt of your deposit, the Town will use its very best efforts to further respond to your public records request in a reasonable amount of time.
