SUMMARY STATEMENT:
The City has had Microsoft server and client licenses in place for many years. Those are required for most
business-critical functions of City departments and staff, such as the platforms for finance databases, email,
GIS, asset management, Police evidence, and file servers. While there is no explicit contract to be signed,
we are subject to Microsoft’s standard terms and conditions (attached). A review of those terms by the City
Attorney and City Council may not have been completed in the past, so that is being requested at this time.
The City has paid a fairly steady amount annually to maintain our rights to use the software. This year’s
renewal payment and details are exactly the same as last year’s.
RECOMMENDED ACTION:
Approve the Microsoft Agreement terms and annual payment and authorize the Information Systems
Manager to electronically accept the terms.
