HOPKINTON 300TH ANNIVERSARY COMMITTEE
DECEMBER 3, 2013, 7:00 PM
LOWER LEVEL, TOWN HALL
Minutes
Call to Order: Chair Steve Kellett opened the meeting at 7:00 pm with the following members present:
Steve Kellett, Chair Alicia Shambo, Vice-Treasurer
Anne Mattina, Vice Chair Jean Bertschmann, Secretary
Meghan McSkimming, Treasurer (absent)
Also present: Don Nash
I. Approval of Minutes
On a motion made by Alicia Shambo, seconded by Anne Mattina, the Committee voted to
approve the minutes of November 12, 2013 as amended and November 14, 2013 as written.
Favor: 4 Against: 0 Absent: 1 (Meghan McSkimming)
II. New Business
A. Holiday Stroll
The Hopkinton Holiday Stroll is scheduled for 12/7/13 from 10-1. The Committee will have a
table to share information and sell t-shirts.
B. BAA number
Anne Mattina will fill out the application for a marathon number with the BAA. The Committee
decided to require a $2500 donation from the selected runner. Steve Kellett or Anne Mattina
will contact the Hopkinton Running Club to advertise the availability of the number.
C. Garden Club
Anne Mattina attended a meeting of the Garden Club. The Garden Club expressed interest in
hosting an historical home and garden tour in June 2015.
III. Old Business
A. Sponsorship –
• Update on 501(c)(3) through Historical Society – Don Nash will coordinate with the
Historical Society to finalize the arrangements for a bank account.
• A website, e-mail, and bank information are needed to finalize the sponsorship materials.
Don Nash will reach out to a potential volunteer regarding the website.
B. Community Partners –
The Committee reviewed the list of potential community partners and assigned Committee
liaisons to each organization.
C. Volunteer Mixer
The Committee held a community wide volunteer mixer on November 14, 2013 at Carbones.
Attendance was low. The Committee will continue to reach out directly to individuals and
organizations in the community regarding partnering on events.
D. Ornament fundraiser
The Committee reviewed a mock-up of an ornament. It is too late to order for December, 2013.
The Committee will consider placing an order for December, 2014 once the bank account has
been established and funds have been raised.
E. Other
Steve Kellett will contact the Friends about attending their next meeting. Steve Kellett will
contact the Town Hall regarding e-mail addresses for committee members, quarterly financial
updates, and an update for the Board of Selectmen.
IV. Adjournment
On a motion made by Anne Mattina, seconded by Alicia Shambo, the Committee voted to adjourn at
8:17 pm.
